Context

We are looking for an Office Manager to be part of GitGuardian’s journey. You will report directly to the HR Director and work closely with our People and Finance Teams.

Mission

By joining our team,

You will act as main point of contact regarding Office Management activities :

  • Make the offices a great place to be! Ensure that it is welcoming, and full of good vibes.

  • Act as the main point of contact for the building management company & ensure the proper maintenance of the facilities and good application of health and safety rules within the premises

  • Manage & purchase office supplies, snacks, beverages, through a network of various vendors, book travels & accommodations, insurances, and manage receipts and invoices for budget tracking

  • Respond to ad hoc requests from employees

  • Sort & distribute incoming and outgoing mail & packages in a timely manner

  • Help us to find our next great office & prepare our next move

  • Track & manage Office budget

  • Organize & manage team building events and seminars

You will collaborate with the HR team to:

  • Support HR Manager on all personnel administration (onboarding, medical visits, health insurance, vacation, pay slips, etc.) for France & US

  • You will be trained to handle our payroll tools (Payfit, Justworks) and our HRIS (Lucca) to assist in various administrative, payroll and personnel management activities

  • Actively contribute to the successful onboarding of new hires (welcome pack, equipment, onboarding meeting bookings…) 

  • Participate in various HR projects

You will contribute to the deployment of the company’s HR policy on various and specific HR topics :

  • Help with implementing the Management Academy 

  • Contribute to already in place Employer Branding initiatives in collaboration with the Marketing team (social media, careers page, etc) and propose new initiatives

Profil recherché

  • 3 years of successful experience in office management, in a fast paced environment.

  • Being bilingual (fluent in English & French) you are used to working in English

  • Detail-oriented with demonstrated ability to multitask & very good organization skills

  • High level of initiative and motivation

  • Skilled at combining the sense of confidentiality required for this type of position with a genuine People Care attitude

  • Positive, friendly and outgoing personality

  • You are interested and curious, open to various missions and projects!

Bonus points:

  • Basic knowledge / experience in HR administration

  • Deep understanding of the startups dynamics and challenges

  • Have experienced strong team growth in a previous company
