Coordinate travel logistics for the team, including booking flights, trains, and hotels
Continuously improve the onboarding process: prepare contracts and send for signatures, collect key documents, and set up tools, accesses, and equipment
Manage payroll using Malibou, including salaries, expense reports, and travel reimbursements
Review and challenge existing tools, service providers, and contracts (insurance, software, etc.)
Handle invoicing, payment tracking, reminders, and bank reconciliation using Pennylane and Qonto
Oversee facility management, including office moves, furniture, and workspace setup
Work closely with our accountant to ensure smooth financial operations
Manage compliance with médecine du travail requirements
Organize internal events, team-building activities, offsites, and other moments that support team happiness
2y+ experience in office management, administration, or operations
Fluent in French and English
Already processed invoices and worked with an accountant
Has handled expense reports, travel reimbursements, and payrolls using a tool (e.g. Malibou, Payfit)
Understands what information needs to go into employment contracts (e.g. diplomas, start dates)
Familiar with onboarding processes, including médecine du travail
Comfortable using Pennylane, Qonto, and basic HR/admin tools
Naturally structured and attentive: anticipates problems, brings order, and creates a smooth, welcoming environment for the team
