What You'll Do

A team-oriented role working for a number of executives within the Platinion Paris office. Reporting to the Executive Support Manager this position would suit a detail-driven individual with excellent technical skills and a willingness to take on anything thrown their way. This is a very organizational role and in an extremely fast-paced environment. Flexibility, enthusiasm, the ability to hit the ground running and a ‘can-do' attitude are essential, and above all a passion for doing it well!

 

The role is based in Paris but EAs regularly support management based in other Platinion office locations as well. The EA will be part of an international team so the individual will need to be willing and able to work across cultures supporting the overall growth of the business.

 

As an Executive Assistant, you will be responsible for:

  • Extensive & intensive diary management
  • Arranging client and internal meetings
  • Acting as the point of contact between the executives and internal or external colleagues
  • Managing information flow in a timely and accurate manner
  • Inbox management by request (depending on stakeholders)
  • Organizing domestic and international travel arrangements including support with visa processes
  • Preparing and submitting time & expense reports
  • Maintaining & updating Partners' client contact information and biographies
  • Drafting and archiving correspondence
  • Onboarding and training of new team members
  • Attending team meetings as necessary
  • Cover for colleagues within immediate team and group as a whole
  • Organizing large team dinners and events on a regular basis
  • Manage the onboarding of new suppliers in our finance platform
  • Ad hoc duties as needed – e.g. research tasks

What You'll Bring

You're good at:

  • Working within a team but also able to work autonomously
  • Accustomed to juggling numerous high-ranking stakeholders and understanding complicated stakeholder relationships
  • Excellent communication skills with an aptitude for proactively communicating schedule changes with relevant stakeholders
  • Adaptability to difficult situations often at short notice
  • Problem solving
  • Proactive and confident in managing expectations, as and when required
  • Commitment to get the job done, often without supervision
  • Discretion with confidential material and information
  • Professional communication style (both verbal and written) at all levels within BCG and with external clients (in both French & English)
  • High attention to detail

 

Your Qualifications & Experience:

  • Bac+2 diploma or equivalent with 3 to 10 years of previous Personal/Executive Assistant experience in the professional services sector
  • Excellent administrative & organizational skills
  • Highly computer-literate, including Microsoft Office Suite; advanced Outlook, PowerPoint, Word, Zoom, Teams
  • A 'can do' attitude / flexible attitude to the role
  • Detail-driven
  • Ability to multi-task, prioritize and manage expectations and conflicting deadlines
  • Working within a team environment
  • Ability to work under pressure calmly
  • Manage senior leadership expectations
  • Fluent French; high standard of English both spoken and written. Other languages considered a plus
