Within OVHcloud, the Office Team is part of the Human Resources department and designed to support the Group’s strategy and development. The Office Department ensures the compliance with our local requirements, the accounting activities, internal events, and daily support to employees. They are the happiness manager within our team and have a broad scope of activities, so that they are in touch with all employees in our region.

You will be the member of an enthusiastic international Office Manager team, with colleagues in Canada, Germany, India, Italy, France, Poland, Tunisia and United Kingdom. Your main responsibilities:

Within the Office Department, the Office Manager works closely with the local HR Business Partner and with the Group’s various operational divisions to ensure the proper deployment and follow up of office projects, while being aligned with the overall objectives of the company.

As a well-organized and solution-oriented HR member, you support the deployment of various initiatives in our 4 offices. Your role is also to provide a daily support to employees and managers in a context of strong growth of activity in our region.

Your main responsibilities:

  • You act as a contact person for the concerns of our employees in the Cologne office and our 4 coworking offices throughout Germany.
  • You ensure a smooth workflow in all offices and take care of disruptions and their resolution, both on-site in Cologne and remotely in the coworkings.
  • You will ensure compliance with health and safety guidelines in the offices.
  • You will prepare all data for payroll and check all details in close cooperation with our tax office.
  • You will process incoming and outgoing mail and forward it to the relevant departments. negotiate framework agreements.
  • You process all payments to local service providers and authorities (taxes, invoices, etc.) in cooperation with the finance department.
  • You support the local HR team (e.g.: monthly reports, personnel administration,
    onboarding) and the legal department.
  • You organize internal events in cooperation with our Event Manager and communicate with the employees.
  • You will participate in local, national and international projects with the international office team.
  • You will visit coworking spaces across Germany twice a year to review and optimize work processes on site and to strengthen contact with local employees.
  • You will contribute to the optimization of existing work processes in the office.

Skills required:
  • Excellent knowledge of administration and accounting
  • Good knowledge of payroll
  • Experience in using various tools and programs
  • Professional communication, especially in employee communication
  • Excellent organizational skills and attention to detail
  • Proactive way of working and solution-oriented approach
  • Team spirit and experience in international teams
  • Excellent knowledge of German and English, French is a plus!
