The Team:The Omnichannel Customer Development & Client Relations Management (CDRM) team is a retail-facing team focused on customer acquisition and retention through Analytics, CRM, After Sales, Client Services, and Experience. The focus of the team is to reach new and existing clients through the sales and service ceremony, bespoke services, smart analytics, and animations all to strengthen acquisition and customer loyalty. The multifaceted team works in tandem to drive traffic to stores and provide one-of-a-kind experiences.The Opportunity:As the Client Events Coordinator, you will play an integral role in supporting all customer experience activities by helping the VP and Managers within the department. With an innovative approach to business development and client experience, you will help develop programs that grow the business through recruitment of clients, their engagement, and retention. You will report directly to the Manager of Client Events.You will also be responsible for logistical duties as well as all retail/client regional animations including but not limited to metier events, holiday activations, craftsmen events, personalization events. You'll be responsible to submit, record and process all invoices and keeping up to date spending records. You will assist with vendor contracts.You'll track all event inventory and materials, creating post-event recaps, archive all event photos and communication tools/collateral. You will oversee the internal communications for the team for the intranet announcements - sharing updates on team calendar, recaps and write-ups. You will help develop competitive analysis research on different client experiences topics to help local and global groups keep abreast of latest market innovations.About the Role:

  • Create and update animation guideline documents for all in-store regional animations.
  • Lead preplanning calls for in-store activations to ensure all internal partners are aligned and all communication is clear for all teams.
  • Create event recaps and year event recap books. Upload and manage all event photo archive.
  • Support and manage retail animation activities by coordinating and executing all logistical tasks assigned by the Manager including but not limited to: communicating with vendors, coordinating with warehouse on inventory movements, creating logistical charts, managing on-site contacts, coordinating attendance with the store.
  • Help overseeing and managing the animations budget process including but not limited to: following all accounting, finance and internal audit requirements related to setting up all new vendors, processing, tracking and recording all invoices and budgets and maintaining an accurate and up-to- date event invoice ledger at all times.
  • Manage and oversee the organization and tracking of records to all inventory items belonging to the Client Experience department including past and present props, materials, porcelain, crystal and archives housed in the corporate offices, off-site warehouses, or external vendors.
  • Provide updates to Manager on a regular basis on all delegated tasks. Practicing timely follow up and anticipating department needs.
  • Develop competitive research on relevant client experience topics
  • Manage and report all client experience communication announcements for the team in partnership with the Internal communications team.

    • Processes, tracks, and records all submitted events invoices and maintains an accurate and up-to-date Master Events budget. Master Budget guidelines are set annually by the finance/accounting/internal audit department as well as the Senior Manager of Client Services.
About You:
  • 1-2 years' experience in similar role and/or environment
  • Hands-on event planning experience and logistics management
  • Strong planning & organizational skills with a sense of priority for deadlines and attention to detail
  • Excellent budget management skills
  • Proven ability to continuously multi-task and be flexible in high stress situations
  • Demonstrated resourceful problem-solver
  • Self-starter and ability to work independently
  • Possess strong work ethic and be an enthusiastic team player
  • Must be flexible to travel, as needed
  • Proficient in negotiation skills
  • Strong knowledge of Microsoft Office & PowerPoint
The range for this position is $59,583.33 - $70,416.67 annually.
