We are looking for a versatile and highly organized Office & Administrative Assistant to support Finance and People Operations on a day-to-day basis.

This is a key execution and support role : you will be the point of contact for everything that makes the company function daily, from lab supplies to finance administration and HR documents. This role is ideal for someone who enjoys multitasking, thrives in dynamic environments, and wants to play a key role in supporting the internal engine of a deeptech biotech startup.

This role focuses on execution, ensuring that administrative, finance and HR processes run smoothly, consistently and without friction. You will work mainly with the Operations team, the Lab Manager, and external partners (accountant, suppliers).

Key Responsibilities

🛒 Procurement & Lab Supplies

  • Place and manage orders for lab consumables and small equipment, as well as general office supplies, in close collaboration with our Lab Manager.

  • Track deliveries, lead times, and supplier follow-up to ensure smooth daily operations and avoid stock-outs.

  • Maintain visibility on purchasing needs and continuously improve purchasing routines and tools.

💰 Finance Operations & Accounting Support (Pennylane)

  • Ensure day-to-day administration of Pennylane, our finance and invoice management tool.

  • Track the full lifecycle of supplier and client invoices (collection, validation, payment follow-up).

  • Support accurate bookkeeping and monthly closing in collaboration with our external accountant.

  • Contribute to basic budget tracking and supplier payment visibility when needed.

📄 Administrative & Legal Compliance

  • Support the preparation, organization, and filing of standard contractual documents

  • Ensure key administrative processes remain compliant, well-organized and easily auditable.

👥 HR & People Operations Support

  • Support the administrative management of employees: contracts, absences, benefits (health insurance / pension plans).

  • Contribute to onboarding/offboarding coordination (documents, checklists, admin tasks).

  • Help maintain clean and up-to-date employee documentation.

🗓️ Executive & Team Support

  • Provide occasional support for agenda coordination, team logistics, and key operational tasks for the leadership team.

  • Handle incoming/outgoing correspondence and administrative follow-ups.

  • Support the organisation of small internal events, travel, or external meetings when needed.

Profil recherché

Must-have

  • Experience : Minimum 2-3 years in an Administrative, Office Management, or Assistant role (ideally in an SME or startup).

  • Organization: You are methodical, you never miss a deadline, and you have a high attention to detail.

  • Prioritization : Proven ability to handle multiple operational topics in parallel without losing focus.

  • Communication : Clear communication skills and a service-oriented mindset.

  • Tools : Comfortable with Google Workspace; ability to use spreadsheets efficiently.

  • Languages : Fluency in French and English (minimum B2/C1).

Strong bonus

  • Previous experience in a startup, scale-up, or SME environment.

  • Familiarity with Pennylane or similar finance and invoice management tools

  • Previous exposure to life sciences, biotech or lab environments, or strong interest in the field

  • Experience supporting HR administration, finance operations or procurement in a small team context
