Your primary role as a Financial Support Coordinator within the Communications team will involve integrating finance and project management tasks with a focus on managing operations alongside the Finance and Legal teams.

Your responsibilities will include administrative duties as well as minor project management tasks. ou will ensure efficient coordination with the Finance and Legal teams to uphold company standards, objectives, and success for Brand & Communications Activations.

Under the supervision of the Event Project Manager, your key responsibilities will include:

  • Planning, Coordination, and Internal Communications:
    • Assist in planning and coordinating international events and communication actions at a global level, ensuring alignment with financial and legal requirements.
    • Collaborate with internal stakeholders such as Sales, Finance, and Legal teams to ensure seamless coordination throughout the event lifecycle.
  • Financial Management:
    • Be the POC between Finance Team and Vendors/Partners.
    • Coordinate with the Finance team to oversee billing and payment processes.
    • Track and manage invoicing and payment processes.
    • Monitor expenses and payments to vendors, ensuring accuracy and compliance with financial policies.
    • Ensure timely follow-up on billing, payments, and outstanding balances.
  • Legal Compliance:
    • Be the POC between the Legal Team and Vendors/Partners.
    • Coordinate with the Legal team for them to review contracts, agreements, and other legal documents.
    • Ensure compliance with legal requirements and regulations related to event management.
  • Administration:
    • Handle administrative tasks related to logistics, including space reservations, invitation management, and travel coordination.
    • Maintain accurate records and documentation for all financial and legal aspects of tasks.
  • Internal Communication:
    • Collaborate with the Brand and Communications team to ensure seamless operations for Brand and Communications strategy and actions.
    • Contribute to the creation of Brand and Communication materials, such as invitations and programs, ensuring alignment with financial and legal guidelines.
  • Team Coordination:
    • Work closely with internal and external teams to ensure effective coordination before, during, and after activations.
    • Facilitate communication and collaboration between the Communications, Finance, and Legal teams.

Profil recherché

  • Minimum of 2 years of experience in Finance, Business Administration, or a relevant field.
  • Demonstrated proficiency in organizational and planning abilities.
  • Capability to work autonomously and collaboratively within a team.
  • Effective communication skills in English.
