    Job description

    SUMMARY:

    We are seeking an experienced Executive Assistant for Rakuten Symphony Executive based in France. Based on organizational needs, we may add another executive to be supported. Basically this role is starting 100% remote work and may ask to visit business partner’s office in Montpellier.

    KEY RESPONSIBILITIES

    • Schedule internal and external meetings, include overal agenda management, prioritizing conflicting meeting requests, including Meeting attributes (reserving conference rooms, teleconference details, participants lists and presence,.. etc).
    • Management of agenda conflicts in Executives calendars. Meetings are often global in nature, and requires coordination across time-zones.
    • Organize travel (domestic and international) following company T&E policy
    • Prepare and submit expense reports via our expense management system.
    • Assist office management and coordinator with occasional setup of breakfast and lunch meetings. He or she will work with the General Affairs team, assisting with other projects as needed, and it is essential that this person be a team player who works well with others.
    • Perform light personal work, facilitiating work time management. such as ordering work related equipment/food/gifts. Coordinating personal appointments with proffessional agenda may be required at times.

    • Experience using video conferencing systems such as Zoom, Webex or equivalent
    • Ability to prioritize and anticipate needs, handling multiple projects successfully in a fast-paced environment.
    • Strong interpersonal communication skills. Able to earn EA (Executive Assistant) community respect and have the ability to work with and through others as needed
    • Excellent organizational skills and strong attention to detail
    • A “no task is too small” attitude, with an innate desire to lend a helping hand to colleagues
    • Strong problem-solving skills, exhibiting initiative and a sense of urgency
    • Able to think creatively and calmly when it comes to quick and unplanned changes in schedule
    • Bachelor’s Degree preferred, but not required
    • Experience working at global company preferred
    • Experience working at a technology company preferred, but not required
    • Tact and good judgment in confidential situations

    CONTRACT

    Subcontract prefered for at least a 6 months mission.

    QUALIFICATION REQUIREMENTS

    • 6-10 years experience as an Executive Assistant. Experience assisting multiple busy executives a plus
      Bilangual French-English
    • Proficiency in using Microsoft Office suite, especially Outlook Calendaring
