We are seeking a highly organised, proactive, and detail-oriented Assistant Projects and Business Manager to provide comprehensive administrative, logistical, and coordination support to our Licensing and Project Management teams based in Shenzhen. This is a key enabling role that ensures smooth daily operations and successful project execution in a dynamic, fast-paced environment.
MISSIONS
Project & Program Management Support
Support the Senior Program & Project Manager in tracking and following up on routine documentation required from licensees.
Support the licensing project team with systematic document archiving and version control.
Collaborate closely with internal teams to ensure projects are delivered on time and according to plan.
Track physical samples (incoming/outgoing), maintain accurate records, and coordinate logistics.
Gradually take ownership of simple projects and manage them end-to-end as skills and experience develop.
Licensing Business Support
Follow up on contract/agreement signatures with licensees.
Coordinate the issuance of NRE invoices to licensees and ensure timely payment of NRE fees to the company.
Monitor the submission of quarterly royalty reports by licensees and the subsequent payment of royalty fees.
Perform accurate data entry, management, and basic analysis using Google Sheets and/or Microsoft Excel.
Act as a liaison between the Licensing team and other departments (e.g., Legal, Finance, Logistics) to ensure seamless information flow.
Operational & Administrative Support in Shenzhen Office
Manage incoming/outgoing shipments and the receipt/return of vehicles (reducing administrative burden on engineering teams).
Handle day-to-day administrative tasks for the Shenzhen subsidiary.
Provide general administrative support to the local team.
Contribute to ad-hoc projects and assignments as required.
Essential Requirements
Bachelor’s degree in Business Administration, Project Management, or a related field (or equivalent practical experience).
2–3 years of experience in an administrative, coordination, or operations support role.
Basic understanding of project management principles and a strong willingness to learn and develop further.
Excellent organisational and time-management skills with proven ability to prioritise multiple tasks effectively.
Strong attention to detail and commitment to accuracy.
Proactive “can-do” attitude with the ability to work both independently and collaboratively.
Good written and verbal communication skills in English (Mandarin proficiency is assumed for the Shenzhen location).
Proficient in Google Workspace (Docs, Sheets, Slides, Drive) and/or Microsoft Office Suite.
Preferred Qualifications (Advantageous)
Hands-on project management experience.
Familiarity with process improvement methodologies (e.g., Lean, Six Sigma, Kaizen).
Experience in car audio, consumer electronics, or the hi-tech industry.
Fresh graduates with outstanding potential are also welcome to apply. Candidates with slightly less experience may be considered for a Projects and Business Coordinator position.
