Airbus Commercial Aircraft is looking for a Personal assistant / Secretary (f/m) to join several departments of our Headquarters based in Toulouse, France (Finance, Legal, Corporate Affairs).

Your challenges:
The jobholder would support the Head Of (HO) xxx and her/his team and his/her job would involve but not be limited to the following:
● Adapt quickly with the ways of working to ensure efficient time management
and support in a constantly evolving and demanding environment
● Anticipate questions / issues and alert the HO when/where appropriate
● Manage calendar for the HO (schedule meetings with internal and/or external
participants, anticipate and suggest solutions for overlap issues, optimize day and
week workload, inform meetings’ attendants accordingly if needed…)
● Manage HO inbox(flag actions and alert HO on critical topics, select and forward
information to relevant team members, reply directly to some emails when
possible…)
● Participate in team meetings and take relevant actions/notes
● Format and distribute official documents using the up-to-date Airbus templates
(memorandum, organizational notes…)
● Organize/coordinate workshops and team building events
● Visitor management: create visit requests, accompany them onsite and to their meeting venues
● Support to the team when required: help in finding appropriate slots for critical meetings
and suitable meeting rooms, order catering, order office supplies, launch move requests, open
incidents (IT)
● Create, follow up and manage purchase orders using our internal ordering toolArranging and following up on business trips, including visa application, invitation letters, when required, and managing related expenses
Your boarding pass:
interpersonal & communication skills, proactive attitude, curious, team player, discretion
● Bilingual English level, additional languages are a plus (multicultural teams)
● Digital-minded, and proficient user of GSuite apps and Airbus tools (click’n Buy, My Fm, MyPulse, U-visit, KDS neo, Business table..)
