Job Purpose:

Transport & Logistics Coordinator (TC) is part of the Transport and Logistics Team, coordinating the transport activities under a specific discipline (Mechanical, Piping /Steel Structure, Elect/Instrum./other). The TC will report to the Transport & Logistics Manager (TLM) and/or Transport & Logistics Section Head. His/her key operational function is to execute the daily transport coordination of assigned Vendors/Pos, ensure the material is collected / delivered on time and supervise the entire transport chain of purchase orders.

 

About the Job :

  • Coordinates the daily transport activities of assigned vendors/POs
  • Expedites the preliminary packing lists (PPL) from TEC and/or vendors and manages them under the material Management system (e.g. assignment to EML, replacement PPL by PL , …)
  • Collects, review and comment Export Control Certificate (ref to trade compliance) and Transportation Drawings
  • Receives and reviews the shipping documentation of various stakeholders (e.g., vendors, freight forwarders, 3rd parties) and manages it in compliance with the project processes and working methodologies. 
  • Prepare shipping documentation for importation when applicable.
  • Ensures transport operations are covered by the Transport Service Order with Freight Forwarder(s) and issues RFQ to TEC when required.
  • Issue Shipping Release Notes and Release-To-Forwarders under the Material Management system
  • Manages EX forms (i.e. Customs declaration forms for Shipment ex France)
  • Ensures timely collection of material at Vendors’ and delivery to destination(s) 
  • Ensures accuracy and update of information in Material Management System (i.e TC, vendors, Freight forwarders)
  • Prepares “approval forms” and issues for approval as defined in the transport execution procedure (e.g., Air Freight approval, …)
  • Updates reporting logs as defined in the transport execution procedure (e.g., claims, back-charges, damages, eventually invoicing status...)
  • Reviews Freight Forwarder(s)’ proforma invoices

 

Reporting lines and interactions:

  • Functional reporting: Transport & Logistics Section head 
  • Operational reporting: Project Transport & Logistics Manager (TM)

Interactions:

  • Externally: Vendors, Freight Forwarders, Marine warranty Surveyor or any other 3rd parties
  • Internally: TEC, VPM, buyers, engineers, insurance group, logistics team(s) in at construction sites

 

About You : 

  • Bachelor’s degree in supply chain management and/or Transport & Logistics Management  
  • At least 3-5 years of experience in Transportation activities in industrial projects
  • Deep knowledge of the transport industry and practices, incoterms, liner terms.
  • Skills and familiarity with Material Management Tool
  • Experience in project freight forwarding.
  • Communication skills: fluent English
