About the Role

We are seeking a highly organized and detail-oriented Press Fleet Administrative Specialist to manage press vehicle operations. This position plays a key role in ensuring smooth fleet logistics, compliance, and premium brand representation in media and stakeholder engagements.

Key Responsibilities

Fleet Management & Logistics

  • Manage press vehicle pools (cars and motorcycles).
  • Oversee entry and exit of vehicles into the press fleet, including registration, documentation, and initial checks.
  • Coordinate with logistics and dealerships for vehicle delivery and return.
  • Ensure compliance with data protection regulations and maintain accurate records in fleet management systems.
  • Manage vehicle documentation, insurance, toll systems, parking, and related services.
  • Track and manage notifications (traffic offenses, toll charges, fines).
  • Schedule and supervise vehicle cleaning, fueling, charging, and maintenance.
  • Coordinate repairs, servicing, and insurance claims, including recall activities.
  • Order parts and accessories for press vehicles as needed.

Administrative & Operational Support

  • Manage personalized handover and return of vehicles, logging usage and mileage.
  • Provide logistics support for events, VIPs, and internal departments.
  • File and archive vehicle loan forms (paper and digital) and digitize invoices from energy/fuel providers.
  • Communicate with stakeholders regarding fleet operations and handle urgent troubleshooting.
  • Create and send vehicle specification sheets to media.
  • Support related departments with similar tasks.

Profil recherché

  • Mandatory university degree in Communications, Marketing, Business Administration, or related field.
  • Proven experience in the automotive industry, preferably with premium brands.
  • Solid understanding of vehicle fleet operations and logistics platforms.
  • Strong organizational and administrative skills with the ability to manage multiple responsibilities independently.
  • Excellent interpersonal and communication skills for professional stakeholder interaction.
  • Ability to work under pressure and maintain accuracy in fast-paced environments.
  • Valid A and B driving licenses, with a minimum of 6 years of driving experience (mandatory).
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Native or C1-level proficiency in Portuguese and English (mandatory).
