Due to the significant growth of the Trusteam and its needs, we are opening a position of Finance & Admin / Office Manager !
We’re looking for an autonomous and motivated person, who will be keen to actively participate in the development of the project and the team.

It’s an exciting opportunity to work hand in hand with the Admin and the HR Teams on a daily basis, and with the entire Trusteam in general due to the central position of this job !

Missions :

Office Management:

  • You take care of the offices and make sure we maintain a high quality, functional and clean working environment ;
  • You bring your positive thinking and share new ideas to ensure our offices are a fun place to work ;
  • You manage the inventories and the purchase of office supplies, IT equipment, snacks and beverages based on consumption and arrivals ;
  • You welcome external visitors (partners, providers, candidates), answer and qualify incoming calls, and sort & distribute incoming and outgoing mail, packages and orders in a timely and precise manner ;

Human Resources/Payroll:

  • You are responsible of the onboarding process for the new arrivals (computer setting, welcome kit, onboarding agenda, welcome breakfast, etc.), as well as the offboarding process for people leaving the company ;
  • You manage the Payroll process and all the administrative tasks related to HR ;
  • You are in charge of the organization of internal events (monthly drinks, team building, etc) ;

Admin & Accounting:

  • You support all the Trusteam by helping them on administrative procedures ;
  • You collect and book purchase invoices in our accounting software tool and prepare the VAT reporting ;
  • You manage customers’ invoicing and cash collection

Preferred experience

  • You have a +3 year experience (may include internships) in a similar position as Office Manager, ideally in a startup/scaleup envrionment ;
  • You are an expert of the Google Suite / Pack Office and you are eager to discover and use new IT tools ;
  • You already have good knowledge of accounting and payroll processes ;
  • You are detail-oriented and rigorous (you always double check information you communicate) ;
  • You’re autonomous in finding solutions to problems and also have strong interpersonal / relationship skills to work cross-team ;
  • You have strong organizational skills and you demonstrate a strong ability to work in a ever-changing environment ;
  • You are curions, positive and full of energy !
  • You have excellent communication skills, both written and oral, in French & English ;
  • You are skilled at combining the sense of confidentiality required for this type of position
