The Executive Assistant will provide high-level administrative support to the TOEFL General Manager, ensuring smooth day-to-day operations and facilitating efficient workflow. This role involves handling confidential information, preparing reports, scheduling meetings, and coordinating events and travels. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple tasks efficiently.
Main Responsabilities:
Reporting to the TOEFL General Manager, your missions will include:
Manage and maintain the GM’s schedule, including meetings, appointments, events, and travel arrangements.
Screen and direct phone calls and emails, distribute correspondence accordingly, ensuring timely responses and follow-ups.
Prepare, edit, and share documents, reports, and presentations.
Assist the GM in preparing monthly expense reports.
Handle sensitive information with the highest level of confidentiality and discretion.
Ensure all actions comply with company policies and procedures.
Organize and coordinate meetings and events (internal & external)
Prepare meeting agendas, take minutes, and track action items.
Act as a point of contact between the GM, employees, clients, and external partners.
Handle requests and queries promptly and professionally.
Draft and proofread emails, memos, and other communications.
Maintain and manage relationships with key stakeholders, including board members, investors, and high-profile clients.
Support the planning, coordination, and execution of projects.
Track project timelines and deliverables and report to GM.

University degree in Administration, Business Management or equivalent.
Minimum 5-7 years of experience in administrative roles, with at least 3 years supporting executives or senior management within an international organization.
Proficient in Microsoft Office Suite and IT tools.
