We’re looking for a highly autonomous and hands-on Finance & Admin Manager to own Volta’s entire back-office, across Finance, HR, and Administration, in both France and Italy. This is a generalist role for someone who thrives wearing multiple hats, gets things done without being asked twice, and takes genuine ownership of the back-office function.
You’ll be taking over responsibilities currently managed by our Founder Associate, and will be a key player in structuring and professionalizing our operations as we scale. You’ll report directly to the COO.
Manage day-to-day accounting operations in coordination with our external accountants (France & Italy)
Monitor cash flow, prepare monthly financial reporting, and maintain budget tracking
Own the invoicing process, payment follow-ups, and expense management
Support non-dilutive debt financing processes and apply for grants, public funding, and innovation schemes (including CIR/CII)
Ensure compliance with local financial regulations in both countries
Coordinate payroll processing with our payroll providers (France & Italy), including tracking of variable compensation and sales commissions
Manage employment contracts, onboarding paperwork, and personnel files
Handle HR admin (leave tracking, sick days, benefits enrollment, and regulatory filings)
Be the go-to person for day-to-day HR questions from the team
Own office operations in Paris and Milan
Manage incoming and outgoing mail, including registered letters and administrative correspondence with public bodies
Manage supplier relationships, subscriptions, and service contracts
Coordinate team events and offsites
Maintain corporate records (statuts, Kbis, assemblées générales)
Process customer contracts and manage the e-signature workflow end-to-end
Maintain internal processes and documentation as we grow
Support the leadership team on ad hoc projects
3+ years of experience in a generalist role (RAF, Finance/Operations Manager, or equivalent), ideally in a startup or fast-paced environment
Fluent in French, Italian and English.
Highly hands-on: you don’t wait for someone to build the process, you build it yourself
Rigorous and detail-oriented: you catch errors before they become problems
Resourceful and autonomous: you figure things out, ask the right questions, and deliver
Comfortable with ambiguity: we’re growing fast and the role will evolve with us
Solid understanding of French accounting and HR basics. Familiarity with Italian equivalents is a bonus
Experience working with external accountants and payroll providers
AI-fluent or genuinely curious about it: you use AI tools in your day-to-day work, or you’re actively looking to.
