The Workplace Team plays a key role in the employee experience at Trainline by connecting people and places through our curated spaces, events, and services.
As Head of Workplace at Trainline, you will... 🚝
Deliver global strategic leadership and operational excellence to ensure our workplaces are safe, inclusive, reflect our culture, and enable our teams to be productive and do their best work.
Workplace Strategy & Leadership
Own the workplace and real-estate strategy across Trainline’s 6 offices in Europe.
Lead, develop, and mentor the Global Workplace Team, fostering a high-performance culture.
Build trusted relationships with senior stakeholders across the business, including Executive Leadership, IT, Finance, People Team, and Legal.
Use qualitative and quantitative data (occupancy, utilisation, surveys, NPS, and headcount forecasts) to inform workplace strategy and space planning.
Lead pilot programs for innovative workplace technologies, stay ahead of emerging trends, and champion the adoption of AI within the workplace.
Real Estate
Oversee all stages of the commercial real estate life cycle, including location analysis, brokerage, sourcing, site selection, lease negotiation, relocation, and disposal.
Develop financial models and analyses to support portfolio decisions and executive approvals.
Maintain an up-to-date understanding of industry trends, market conditions, and best practices.
Capital Projects
Lead the end-to-end project management of workplace design and fit-out projects, ensuring delivery on time, on budget, and to specification.
Apply project management methodologies across all workplace projects, including scope definition, program planning, risk/issue management, governance, reporting, and stakeholder communication.
Develop and maintain global design standards, ensuring our workplaces support collaboration and are inclusive and accessible.
Manage construction, design, engineering, and furniture partners through procurement, contract negotiation, and ongoing supplier performance management.
Develop communication plans, playbooks, and training materials to support employees and leaders through change.
Operations
Oversee daily operations across all offices, including maintenance, events, front of house, helpdesk, food & beverage, and travel.
Lead on workplace programming, community events, onboarding experiences, and promoting cross-team connection.
Ensure workplace services deliver a consistently high standard aligned to Trainline’s culture and employee expectations.
Partner closely with Workplace IT to ensure workplace technology supports efficient ways of working and hybrid team collaboration.
Financial Management
Own all Workplace OPEX and CAPEX budgets, maintaining accurate forecasting and reporting.
Develop business cases for capital projects and strategic investments.
Balance trade-offs and ensure cost-effective operations while maintaining service quality and compliance.
Sustainability & ESG
Embed sustainability principles into all workplace and real-estate decisions, including material selection, energy use, waste reduction, and supplier standards.
Partner with our Sustainability team to ensure offices operate in line with Trainline’s environmental goals and reporting requirements.
Lead initiatives to improve the sustainability performance of the workplace portfolio.
Track and report environmental metrics (energy, waste, water, materials) to support Trainline’s broader ESG commitments.
Health & Safety
Develop and maintain H&S policies, risk assessments, fire strategies, DSE, evacuation procedures, and contractor management processes.
Act as the senior escalation point for incidents, audits, and corrective actions.
Oversee H&S training and inductions.
Partner with Country Managers, HRBPs, and our DEI networks to maintain safe workplaces that are inclusive and support employee well-being.
Proactively manage risk across the portfolio, ensuring business continuity.
Own physical security standards and processes across Trainline’s office estate, ensuring alignment with company-wide security, risk, and compliance frameworks.
Physical Security
Oversee access control systems, badge management, visitor management, CCTV, alarm systems, and incident response protocols.
Lead investigations and coordinate responses to physical security incidents.

Proven experience leading workplace, real estate, or facilities teams in high-growth tech or scaling organisations.
Strong background across real estate lifecycle, workplace design, construction, and operational management.
Skilled in stakeholder management, able to influence at all levels, including C-Suite.
Experience leading global teams and managing distributed office portfolios.
Strong commercial acumen with experience managing vendors and large budgets.
Knowledge of traditional leases and serviced office agreements.
Ability to translate data and insights into strategic recommendations.
Excellent communication skills with the ability to create clarity through reports, dashboards, and presentations.
Demonstrated ability to lead complex programmes and manage multiple simultaneous projects.
Formal H&S qualification (e.g., NEBOSH) would be advantageous.
Strategic thinker with a practical, problem-solving mindset.
Collaborative leader who builds trust and empowers teams.
Comfortable operating in fast-paced environments with ambiguity.
Passionate about creating workplaces that enhance culture, performance, and employee experience.
