Swan is looking for an Executive Assistant to support Nicolas, our CEO, and other company C-level. You work directly with them to support all aspects of his daily work routine. We’re looking for someone who would serve as a primary point of contact between the CEO, his office, and external contacts person.
You must be comfortable interacting with high-level executives. You must be a team player capable of cultivating productive working relationships across the firm. Resourceful, can-do attitude. Thrives in a fast-paced environment
✨ Your mission
Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements.
Receive and screen the CEO’s mails and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.
Advise the CEO of time-sensitive and priority issues, ensuring appropriate follow-up.
Other additional and/or alternative duties are assigned occasionally, including supporting other departments or Executives as needed.
✨ You’re a great match if:
You have three to five years’ of prior experience in supporting a senior executive or team
You have exceptional writing, editing, and proofreading skills
You are able to talk to a wide range of interlocutors from peer to board member
You have excellent organization, time-management skills and a high sense of confidentiality
Highly structured individual capable of handling multiple tight deadlines in parallel
Ability to work independently and manage multiple projects simultaneously
Flexibility with changing requirements in an evolving and fast-paced environment
Excellent working abilities in French and English
