About our People and Mindset

We believe that people do their best work when they're given the freedom to thrive and grow. That's why liberation is at the core of everything we do. We empower Spendeskers to take ownership of their work, to navigate ambiguity, and seize every opportunity.

Spendeskers come from all over the world (35+ countries and counting!) but we have plenty in common: we're bold, ever-curious, committed to kindness, and tackle every challenge with a positive mindset.

Team & Scope

The Executive Assistant & Leadership Communications Manager will support and report to the CEO.

The role requires smooth coverage with significant exposure to:

  • Investors

  • Board members

  • Strategic clients

  • Critical and urgent internal topics

  • Executive Leadership Team dynamics

  • Cross-functional strategic initiatives

Culture at Spendesk

At Spendesk, performance is driven first and foremost by the quality of people and mutual trust.

The culture is defined by:

  • A high level of intellectual and operational rigor

  • Strong trust-based relationships between leadership and teams

  • A fast-paced, ever-changing, sometimes ambiguous environment

  • An obsession with prioritization and real impact

  • A close-knit team that also knows how to celebrate success

This role is for someone who thrives at the heart of the action and enjoys creating time, clarity, and impact for highly solicited executives while shaping the narrative that keeps the organization aligned and energized.

The role

The Executive Assistant & Leadership Communications Manager will play a key, highly exposed, and cross-functional role with a strong strategic dimension spanning both executive support and leadership communications.

This is a balanced 50/50 role requiring equal excellence in executive partnership and strategic communications. This role comes with a high level of trust and authority to act on behalf of the CEO, including pushing back on internal and external requests when needed.

What makes this role unique: By being present in all key meetings and understanding the full strategic context, you'll have unparalleled visibility into company priorities, decisions, and direction. This positions you perfectly to translate executive thinking into clear, compelling communications that keep the entire organization aligned.

Executive Support (50%)

Calendar management & prioritization

  • Ownership of an extremely dense calendar, including: investors, boards, strategic clients

  • Continuous arbitration with strong critical thinking

  • Ability to push back on non-essential meetings rather than filling the calendar by default, and protect executive time as an absolute priority

Preparation, briefing & follow-up

  • Translating ad-hoc requests into: calendar blocks, reminders, concrete next actions

  • Post-meeting follow-ups and reminders when needed

  • Preparation of briefing materials and context ahead of key meetings

Travel & international coordination

  • Organization of travel across Europe

  • Close coordination with international teams

Internal & external interface

  • Natural point of contact for CEO-related topics

  • Interaction with: investors, boards, partners, high-stakes clients

  • Representing the CEO with a very high level of professionalism and discretion

  • Acting as an internal PR and EQ complement to the CEO: sensing team needs, rounding edges, creating care moments, and nudging leadership action when needed

Knowledge management & systems

  • Ownership of Notion spaces for CEO, ELT, and Next Gen Leaders

  • Ensuring these spaces are always up-to-date, well-organized, and easy to navigate

  • Creating a true one-stop-shop that helps everyone access the right information effortlessly

Leadership Communications (50%)

Executive Leadership Team communications

  • Preparation and coordination of key ELT meetings (agendas, pre-reads, follow-up documentation)

  • Documentation of strategic decisions and action items

  • Ensuring alignment and clarity on priorities across the leadership team

Company-wide communications

  • Support to the CEO in his main communications (e.g., weekly newsletter to the company, external thought leadership)

  • Preparation of content and key messages for Town Halls and all-hands meetings

  • Translation of executive strategy into clear, engaging communications for all employees

  • Collaboration with the People team to support organization of events and initiatives that make the strategy come to life in offices

Strategic event design & execution

  • End-to-end organization of ELT offsites (planning, logistics, coordination, execution)

  • Design and execution of Next Gen Leaders offsites and development programs

  • Creating moments that foster strategic alignment, team cohesion, and cultural reinforcement

Strategic storytelling & narrative

  • Capturing the "why" behind decisions and translating it into compelling narratives

  • Identifying key themes and messages from strategic discussions

  • Ensuring consistency and clarity in how leadership communicates vision and priorities

Note: This role focuses on leadership-level strategic communications, working in close coordination with the Engagement and Internal Communications function, which focuses on culture, engagement initiatives, and broader employee experience programs. As we are an international team, please submit your application and CV in English.

Key Challenges

  • Balancing two distinct but equally important areas of responsibility: executive support and leadership communications

  • Quickly understanding the CEO's true (sometimes unstated) priorities and translating them into clear, actionable messages

  • Operating in an environment that is:

    • International

    • Extremely fast-paced

    • Occasionally unpredictable

  • Finding the right balance between:

    • Availability

    • Time protection

    • Anticipation

  • Being autonomous and proactive without over-escalating

  • Building smooth and effective working relationships with highly exposed executives

  • Seamlessly switching between high-stakes executive support and strategic communications work

  • Translating complex strategic discussions into clear, engaging narratives that resonate across all levels of the organization

  • Continuously leveraging AI and automation to increase impact and proactivity

Ideal profile

This role is best suited for someone who enjoys making tough calls, saying no when needed, and operating as a trusted extension of the CEO. You're equally energized by managing a board schedule and crafting the narrative for a company Town Hall. You thrive on being at the center of strategic decision-making and have a natural talent for distilling complexity into clarity.

You bring a “Chief of Staff “mindset: business-driven, with a strong ability to understand strategy and articulate engaging messages. But you're also completely comfortable with the concierge, administrative, and operational aspects of being an EA. You don't think any task is beneath you, and you take pride in going the extra mile.

You're a people person with exceptional EQ: Sunny, energetic, and always smiling, you bring positive energy to the floor. You have an acute sense of service, accessibility, and care. You naturally sense when someone needs attention or when a situation requires a softer touch. You're the CEO's internal PR, complementing and rounding edges where needed.

You're an AI enthusiast: Constantly testing and developing AI agents to help you do more, be more proactive, and create more impact. You see technology as a force multiplier and are excited to push the boundaries of what an EA can achieve.

Experience

  • ~5 years of experience minimum

  • Strong background supporting executives in demanding, fast-paced environments

  • Proven experience in communications, executive communications, or strategic project management

  • Experience writing compelling executive-level content (newsletters, presentations, all-hands content)

  • Experience organizing high-impact strategic offsites or leadership events

  • Experience in a startup / scale-up tech environment is highly valued

Track record of successfully managing multiple high-priority workstreams simultaneously

Mindset

  • Excellent critical thinking and judgment

  • Strong ability to prioritize without constant direction

  • Exceptional writing skills with the ability to adapt tone and style to different audiences

  • Natural storyteller who can translate strategy into compelling narratives

  • Autonomous, proactive, and highly reliable

  • Calm under pressure and absolutely discreet

  • Exceptional emotional intelligence and interpersonal skills

  • Sunny disposition, positive energy, and a genuine love for helping others

  • Detail-oriented with strong organizational skills

  • Comfortable wearing multiple hats and switching contexts quickly

  • Strategic thinker who can also execute flawlessly on operational details

  • Not afraid to go above and beyond, with a strong sense of service

International exposure

  • Comfortable working across multiple time zones

  • Fluent / bilingual English and French is mandatory

Tools and tech mindset

  • Excellent command of:

    • Google Workspace

    • Slack

    • Notion

  • AI enthusiast: passionate about testing and implementing AI agents and automation

  • Fully comfortable in a digital-first, tech-driven environment

  • Ability to quickly adopt new tools and platforms
