Purpose of the Role

The Office Manager ensures a smooth and engaging employee experience by designing and delivering efficient people processes and cultivating a workplace environment that promotes employee well-being, collaboration, and productivity. This role spans a diverse set of responsibilities—from onboarding and office operations to wellness, team-building events, automation, and policy management.

Key Responsibilities

🧑‍💼 Employee Experience & Onboarding

-Coordinate and continuously improve the full-cycle onboarding and pre-onboarding process.

-Coordinate employee travel and logistics for onboarding at Prismic HQ.

-Prepare, update, and manage onboarding documentation and welcome kits.

-Plan, schedule all Onboarding Sessions, and host the Office onboarding session. Collaborate with cross-functional teams for role-specific onboarding.

-Ensure all necessary equipment and access is arranged in coordination with IT and relevant teams.

-Maintain regular communication with new hires before and during onboarding.

-Collect and analyse onboarding feedback to identify opportunities for improvement.

-Support the off-boarding experience and ensure all off-boarding tasks are handled smoothly.

🧘 Well-Being & Workplace Culture

-Foster a supportive & engaging office culture aligned with the global culture & engagement strategy.

-Coordinate all wellness initiatives (e.g., yoga sessions )

-Coordinate employees pulse checks in place

-Analyse well-being data and implement action plans in collaboration with the Head of People.

-Take care of snacks and office perks to boost morale and create a welcoming environment.

🏢 Office & Operations Management

-Oversee office upkeep, workspace readiness, and equipment maintenance.

-Liaise with vendors, suppliers, and building management.

-Manage operational processes such as invoice review and coordination with the Finance team.

-Ensure a smooth day-to-day experience in the Paris HQ for both remote and in-person teams.

🧩 People Projects & Internal Communication

-Partner with the Head of People to roll out key HR initiatives and projects.

-Own the internal policy documentation system and ensure easy employee access.

-Propose and implement internal communication improvements (e.g., for weekly all-hands or Vortex meetings).

-Identify, implement, and maintain automations to streamline people processes and boost team efficiency.

🌍 Team Building & Events

-Own the planning and execution of quarterly team building events and make sure they are aligned with the company values & culture strategy.

-Co-organise and coordinate company-wide global team buildings once or twice a year, end-to-end.

-Collaborate with stakeholders, external vendors, and venues to ensure smooth delivery of events.

-Track feedback and continuously iterate on the team-building experience.


Preferred experience

Must-haves:

-Proven experience in onboarding, HR project coordination, and office management.

-Highly organised with excellent time-management skills.

-Strong interpersonal and communication abilities (written and verbal).

-Comfortable working independently, taking initiative, and solving problems.

-Some exposure to culture and workplace management.

-Tech-savvy, with a mindset for automation and process optimisation.

-Fluent in English and French.

-Empathetic, trustworthy, and confidential with HR-related information.

-Comfortable working on-site in Paris (4 days/week for onboarding, 2 days/week rest of the time).

-Willingness to handle administrative tasks (e.g., rent, utilities).

-Comfortable working closely with leadership.

Bonus:

-Experience with Notion — for knowledge-based work.

-Experience with a survey tool is a plus.

-Knowledge about HR.

-Prior experience in a startup or fast-paced environment.

-Familiarity with other workplace tools like Slack.

-Previous work with HR tools or processes.

-Experience creating and analysing employee surveys.
