About the team

The role of our wonderful Daphnée (our current Office Manager), is evolving towards a more HR oriented scope. Thus we are looking for an Office Manager to take over her role and complete our team of 4

  • Daphnée (Current Office Manager, future People Ops specialist)

  • Ylane (Talent Acquisition Apprentice)

  • Damien (Chief People Officer)

About your role

Within our amazing Parisian office (1 floor - 400m²), you will be the main point of contact related to every Office topics. You will be the owner of the workplace experience for our Paris based employees and for our recurring visitors (full remote employees, customers, partners…).

Your role will be divided into the following core missions:

Offices Management (50%)

  • Day to day office check up: ensure the office is kept in good shape (meeting rooms, common areas and equipment, maintenance of green plants, etc.), be the point of contact for employees

  • Maintenance: manage reactive and proactive maintenance with suppliers and services (maintainer, plumber, electrician…)

  • Supply management: manager office supplies and inventory for our Parisian office,

  • Non french offices: when needed, liaise with employee in Berlin to ensure support regarding their experience at our co-working.

  • Budget supervision: rigorous back-office / supplies budget monitoring

Events Management (30%)

  • Prepare the office for our monthly Metroscope Days (Gathering at the office for the technical team) and ensure smooth communication about it.

  • Organise / contribute to the organisation of company recurring events and team events (suggestion of suppliers, facilities…)

  • Organise our yearly company seminar according to the company’s budget and guidelines (values, decarbonation strategy 🌱…)

  • Proactively suggest friendly events and animations (movie screenings, board games evening

  • Sharply monitor the allocated budget for events

HR bridge (10%)

  • Prepare newcomers’ onboarding: before D-day (equipment, lockers etc…) and during D-day (welcome breakfast, office tour…).

  • Collect leavers’ equipment and report it to our inventory.

Team projects (10%)

  • Contribution to the team’s roadmap projects

  • Contribution to office layout redesign and the future Office extension / relocation (planned for 2025)

Preferred experience

We hope you will recognize yourself as the following:

  • You have a first Office Management experience or equivalent

  • You have a good balance between people skills, empathy and assertiveness: you are willing to help employees and grant them with a positive office experience but you are not their mother/father!

  • Rigor, self-organisation and capacity to manager your priorities : you seek autonomy in your day to day work

  • Sense of discretion and confidentiality.

  • You have good writing skills for documentation and internal communication purposes.

  • You are fluent in spoken and written French and English (we have non-French speaking employees).

  • Bonus: the industrial world triggers your curiosity and / or you are interested in climate change topics.

Recruitment process

  • Stage 1 - 📞 Call with a member of the People Team: Ylane, Daphnée or Damien - 20min: high level discussion to get to know you, check mandatory requirements for the role, answer your questions.

  • Stage 2: 👨‍💻Technical interview with Daphnée and Damien Hié-Coloby - 1h: to assess your skills for the role.

  • Stage 3: 📸 Final call with Aurélien Schwartz (CEO) - 30 min: short call with an important stakeholder.

    All interviews don’t have to take place at the office but given the nature of the role, we expect you to come there at least for stage 2 (Paris Saint Lazare)

    To smoothen and speed up the process, we might group stages.
