Roles and responsibilities

We are looking for an Executive Assistant who will assist the team based in France in order to optimize the management of their activities and to accompany the administrative and accounting management of the company.

The responsibilities include:

  • Filling administrative documents addressed to banks, insurance and furnishers
  • Advanced, proactive diary management, facilitating the swift set-up of client meetings
  • Realisation of supplier payments
  • Meeting, conference calls, telepresence set up - internally and externally
  • Finalize complex travel arrangements: coordination of flights, check in, VISAs, accommodation and ground transportation logistics following a Corporate Policy. Manage a multitude of frequent changes at short notice and prepare travel itineraries
  • Management of expense processing through reimbursement, personal amounts owing, and account reconciliations
  • System functionality expert - utilize internal systems, complete accurate data entry into internal management information systems, and responsible for the accurate collation of information to senior management
  • Become an integral part of business, understand group priorities and Flowdesk’s expectation
  • General administration duties (Room bookings, filing, photocopying, faxing)
  • Partnership with assistants across the group to provide coverage for absence where necessary.
  • Other administrative and accounting duties

Preferred experience

Skills and personality:

  • Organized and resourceful
  • Knowledge of MS Office
  • Knowledge of project management tools and collaborative tools
  • Full competency in diary management, can apply good judgment and has an understanding of competing priorities
  • Flexibility and openness to change
  • Good communication skills
  • Professional proficiency/fluent in English, another language is a plus
  • Good knowledge and appetite for the financial industry world
  • Knowledge of the cryptocurrency industry is a plus

Background and experience:

  • Basic training (Min. Bachelor in Law or Business studies)
  • Experience in Law, Finance or Banking is appreciated
  • Experience in digital assets/cryptocurrency/DLT/blockchain is a plus
