Your mission

As Office Manager at Vocca, your mission is to keep the company running smoothly day-to-day, without friction.

You are the operational foundation of the team: you structure, execute, and continuously improve everything related to office life, HR operations, administration, finance operations, internal tools, and executive support.

This is a high-responsibility, high-trust role, working directly with the founders, aimed at protecting their time, ensuring operational excellence, and supporting Vocca's strong growth.

Your responsibilities

🏡 Office management & internal operations

  • Manage day-to-day office operations (vendors, supplies, maintenance, security, IT, subscriptions)

  • Oversee office logistics in Paris 1st arrondissement (equipment, access, layout)

  • Organize internal events (team moments, seminars, offsites)

  • Ensure a smooth and frictionless employee experience at the office

📨 HR operations & personnel administration

  • Manage onboarding and offboarding processes (contracts, administrative procedures, benefits)

  • Coordinate payroll (variable collection, vendor relations, payslip verification)

  • Track leave, absences, expense reports, and internal policies

  • Serve as the main point of contact with external HR partners (social security firm, insurance, accountant)

  • organize offsites, team building, etc.

💳 Administration & finance operations

  • Track client invoicing, collections, and follow-ups

  • Manage supplier invoices, payments, and simple disputes

  • Perform first-level accounting reconciliation (invoices, payments, matching)

  • Prepare and submit monthly accounting documents

  • Track expenses

🧰 Gatekeeping, structuring & executive support

  • Play an internal gatekeeper role: structure information, filter requests, ensure execution of decisions

  • Support the founders with calendars, travel, document preparation, and internal coordination

  • Lead cross-functional micro-projects

🤓 Process, tools & continuous improvement

  • Implement, document, and maintain clear administrative processes (Notion)

  • Continuously improve internal tools (HR, invoicing, expense reports, SaaS stack)

Who you Are

  • Minimum 5 years of successful Office Management experience in a dynamic environment.

  • Fluent English, excellent interpersonal skills, smooth communication.

  • Highly organized, autonomous, reliable, fast, business-minded.

  • Excellent people skills, service-oriented, professional maturity.

  • Clear desire to work on-site in Paris 1st arrondissement.

  • Comfortable in a young startup environment, under construction, where everything evolves quickly.

  • Ability to handle pressure, prioritize, make decisions.
