OUR FUTURE OFFICE MANAGER
We are seeking a highly organized and resourceful Office Manager to oversee the day-to-day administrative management of our Lisbon office. You will be responsible for ensuring the smooth and efficient running of our office, fostering a positive work environment, and supporting our team’s success. The ideal candidate is a proactive problem-solver with outstanding communication skills and a passion for creating a great workplace culture.
WHAT DO WE EXPECT FROM YOU?
KEY RESPONSIBILITIES
1. Office & Facilities Management
Serve as the primary point of contact for day-to-day office operations, maintenance, and all facilities-related matters.
Manage relationships with vendors, suppliers, and service providers, ensuring quality and cost-effectiveness.
Oversee office inventory, ordering all necessary supplies, equipment, and company merchandise (goodies).
Handle all incoming and outgoing correspondence, including mail, packages, and emails.
Maintain a professional, organized, and secure office environment.
2. Administrative & Team Support
Coordinate company events, meetings, and team-building activities from concept to execution.
Manage travel arrangements (flights, hotels, transport) for the team.
Maintain and manage team schedules, including the holiday calendar.
Provide general administrative support to the Lisbon team as needed.
3. HR & Onboarding Coordination
Spearhead the onboarding process for new employees to ensure a seamless and welcoming experience (e.g., workstation setup, welcome breakfast, medical appointments, meal card).
Assist in the coordination of internal training sessions and workshops.
Administer employee benefits such as meal vouchers.
Ensure office health and safety policies are up to date.
WHAT ARE WE LOOKING FOR?
A SKILLED AND ATTENTIVE TALENT WITH…
A background in administration, accountancy, HR or related field (at least a bachelor level);
Proven experience as Office Manager or Administrative Assistant or similar role;
Excellent organizational, multitasking, and time-management skills;
A proactive mindset and hands-on approach to problem solving;
Strong interpersonal and communication skills, with fluency in both Portuguese and English (written and spoken);
Proficient in MS Office Suite (Word, Excel, Powerpoint) and Google tools;
Reliable, trustworthy, able to handle confidential information with discretion;
A positive, energetic attitude and a genuine desire to support the teams.
