The position

Job description

WHAT WOULD YOU BE IN CHARGE OF? 🚀

As Colonies is growing on the German market, we are looking for an Office Manager to ensure the smooth running of our German office. More concretely, on a daily basis you are involved in the following tasks:

Finance:

  • Execute bank transfers related to structural and office expenses while monitoring the allocated budget.
  • Prepare documentation (e.g. invoices) for our accountant and communicate with her in case of queries.
  • Work with our accountant to calculate and consolidate the monthly payroll expenses (e.g. salaries, lunch & commuting subsidies, travel expenses).

Office and Operations Management:

  • Handle the mailbox and the related administrative tasks.
  • Book everything related to business trips (e.g. transportation tickets, accommodations) while keeping an eye on the travel budget.
  • Manage office related leases and contracts and try to negotiate better prices and discounts (e.g. cellphone contracts, office lease).
  • Manage office supplies and make sure orders are well delivered.
  • Coordinate the cleaning of our office space.

HR Management:

  • Support the HR team based in France for recruitment activities (e.g. translate and publish job offers for open positions in Germany)
  • Coordinate sick leaves and communicate to the HR team.
  • Know the German employer rights when setting up working contracts/ handing out certificates of employment.
  • Coordinate team building events and the onboarding of new hires within the German team.

Others:

  • Support our operational team with their onsite duties (e.g. key handover, picking up items)

  • You have strong organizational skills, pay attention to even the smallest detail and are a reliable person. You have good time management skills and know how to prioritize tasks.
  • You are a friendly and engaging person with strong interpersonal and communication skills.
  • You are resourceful and solution driven – there are no problems, only solutions!
  • You are a hands-on person, helping things to be done when needed. You enjoy working in a challenging environment.
  • You have excellent excel skills and have basic knowledge about German employer rights.
  • Curious, multi-skilled and independent, you are ready to take part in an exciting adventure!
  • German native & English fluency - French is a plus.
