As a Freelance Volunteers Manager, you will be responsible for coordinating the recruitment of volunteers, animating the community, and ensuring the smooth running of the volunteer schedule for the ChangeNOW 2025 summit. Missions

In preparation of the ChangeNOW 2025 summit and under the supervision of the production manager, you will be responsible for coordinating the recruitment of volunteers, animating the community and ensuring the smooth running of the volunteer schedule for the event.

As the Volunteers Manager, your missions will include :

1. Defining the Volunteer Engagement Strategy

  • Develop and lead the volunteer recruitment strategy in line with the event’s objectives

  • Identify new networks and partnership opportunities to broaden the volunteer base

  • Oversee the reactivation of existing volunteer groups and ensure their continued engagement

2. Cross-Team Coordination & Needs Assessment

  • Collaborate with team leads to gather and analyze their specific needs

  • Translate these needs into mission profiles and adjust the recruitment strategy accordingly

3. Training and Onboarding Supervision

  • Design the training journey for volunteers and Team Leaders

  • Oversee the organization and facilitation of onboarding sessions

  • Ensure smooth information flow between teams and volunteers

4. Enhancing the Volunteer Experience

  • Develop initiatives and partnerships to improve the volunteer experience before, during, and after the event

  • Coordinate with the production team on logistical aspects related to volunteer reception and comfort

5. Operational Supervision During the Event

  • Ensure smooth coordination between volunteers, staff, team leaders, and logistics teams

  • Implement a responsive management system to address needs and unforeseen situations on-site

  • Support Team Leaders in the daily management of volunteers

6. Community Engagement & Retention

  • Maintain ongoing engagement with the volunteer community outside of event times

  • Develop a post-event engagement plan to retain and grow the volunteer community

Preferred experience

  • Excellent written and verbal communication, in both English and French

  • Proven experience in event or community project management

  • Strong ability to plan, organize, and execute strategies

  • Comfortable working in fast-paced, dynamic environments

  • Experience in volunteer recruitment, training, and community building

  • Ability to motivate and manage diverse groups (volunteers, team leaders, etc.)

  • Skilled in designing and leading onboarding and training sessions

  • Hands-on leadership during events, with the ability to manage crises or last-minute changes

  • Deep motivation to have a positive impact, and to change the world!
