As People & facilities/office coordinator, you will have a pivotal role in the day-to-day life of the premises: you ensure that all Welcome to the Jungle employees evolve in a pleasant and secure work environment.
The goal is to offer the best possible employee experience in our offices, so the position requires a presence 3 days a week in the office, based in Prague. The division of your work will be 50% Office part and 50% People part.
Office management
Manage regular exchanges and negotiations with all our service providers involved in the maintenance of our offices (cleaning, elevator, alarms …) and office life (coffee, fruit …)
Management of the Office Management budget in autonomy, daily follow-up of invoices and payments with the help of our Finance team
The challenge of our existing tools and equipment (process, security, service support…) to support the strong growth of Welcome to the Jungle
Welcoming new employees and planning their local onboarding in coordination with the HQ
Organization of events, at the team and company level, in our offices or outside (team buildings, seminars, Jungle parties…)
Management of communications related to the life of the office (closing of offices, schedules, breakfasts, maintenance…)
Support of our production teams for the logistics of certain shoots
Assistance in the evolution of our tools and processes in connection with our B-Corp certification
Team engagement
You will work on the constant improvement of team engagement in cooperation with the local Managing Director through the regular analysis of the team’s feedback and local subsidiary eNPS, You will work on team development activities to improve employee experience,
You may contribute to ad hoc projects in coordination with the Employee Experience / People Operations teams General administration
You will make sure that the invoicing and budgeting processes are well-managed and understood by the Czech team,
You will manage the overall accounting process in coordination with the Accounting team based in Paris: upload the invoices, send the necessary documents as soon as possible to the accounting firm, make all invoices and receipts available to our accounting firm
Travel management and related expenses: you will take care of the travel arrangements for the entire team, including flights, tickets, and hotels
