We are looking for an Administrative & Accounting Coordinator to join our Finance Team!

Your mission in the team will be to be in charge of the whole invoicing, procurement and payment processes across the group. You’ll be the main point of contact for all our vendors and customers globally (EMEA/US/APAC)!

👉 Your main responsibilities:

Receivables :

  • Maintain bookkeeping databases and spreadsheets, updating information as needed
  • Responsible of the whole invoicing process, from customer’s creation, to invoice raised and follow-up on overdue payments, communicate with customers regarding payment status
  • Collect payment from customers and accurately record it into the system
  • Reconcile account receivables ledger to ensure accuracy
  • Prepare and maintain AR aging report
  • Update client accounts based on payment or contact information
  • Answer all customer inquiries

Vendors :

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices and Purchase Orders on credit card tools (Spendesk) and procurement process
  • Verifying vendor accounts, paying vendors, and resolving purchase order, invoice, or payment discrepancies
  • Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used
  • Answer all vendors inquiries

Bank:

  • Import all bank records, reconcile and generate booking if needed on a daily basis
  • Reconcile Bank Statements

Payroll and employees expenses:

  • Review and approve the employee expenses requests and process to their reimbursement
  • Ensure compliance with company policies and procedures

Ad-hoc

  • Assist with audits and provide necessary documentation
  • Provide administrative support to the finance department as needed
  • Participate to the improvement/optimization of the internal processes

👤 What we are looking for:

  • Proven experience in administrative support or sales administration and basic accounting functions
  • Excellent attention to detail and accuracy
  • Strong organizational, multitasking and time management skills
  • Ability to work independently and prioritize tasks effectively
  • Excellent communication and interpersonal skills
  • Strong analytical acumen
  • Understanding / knowledge of accounting and financial reporting principles and practices
  • Knowledge of Spendesk or ERP (NetSuite) is a plus
  • Fluent in English and French is mandatory
