The Role:

The European Sales Administrative Manager, will play a critical support role in the efficient operation of our sales activities across Europe for a major luxury client. This position is central to ensuring seamless administrative processes, meticulous financial tracking, and strong operational support for the sales team, ultimately contributing to outstanding client relationships and business objectives.

Key Responsibilities:

Purchase Order (PO) Management:

  • Responsible for the comprehensive tracking and monitoring of all purchase orders related to sales activities for the client.
  • Management and maintenance of purchase orders, quotes, and associated administrative tools and systems, ensuring accuracy and compliance.

Invoice Management:

  • Efficient management and processing of invoices from media owners, coordinating with relevant teams for approval and payment.
  • Preparation, dispatch, and tracking of client invoices, ensuring timely and accurate billing for services rendered.

Sales Operations Support:

  • Assist in the preparation of sales proposals, presentations, and reports, ensuring all documentation is professional and accurate.
  • Maintain and update client databases and sales records with meticulous attention to detail.

Desired Skills & Experience:

  • Professional Experience:

A minimum of 3-5 years of experience in a similar administrative, sales support, or financial coordination role, ideally within an agency, media, or luxury sector environment.

  • Language Proficiency: Fluency in French is essential. Business proficiency in English is also required. Proficiency in other European languages will be highly valued.
  • Work Ethic: Professional, serious, and exceptionally meticulous in all tasks, demonstrating a strong commitment to accuracy and quality.
  • Client & Team Focus: Possesses a strong team spirit, thoroughness, and an unwavering commitment to delivering exceptional client service.
  • Learning Agility: Enthusiastic and demonstrates a genuine willingness to learn, adapt, and grow within the role and team.
  • Proactivity & Problem Solving: Proactive in identifying potential challenges, capable of imagining innovative solutions, and effective in proposing improvements to processes and workflows.
  • Interpersonal Skills: Dynamic individual with excellent communication and interpersonal skills, able to build and maintain effective relationships with internal teams and external stakeholders.
  • Numerical Aptitude: Comfortable and proficient in working with numerical data and figures, with a strong aptitude for financial administrative tasks.

Recruitment Process
