1️⃣ What you'll be doing

This role is pluridisciplinary and fast paced, working closely with our CEO (based in Madrid) and with all the teams based in Paris....or just visiting !

1. Office Management (50%)

  • Manage the Paris office daily operations alongside the property manager.

  • Create a welcoming workspace that reflects Resilience's culture.

  • Ensure office supplies, equipment, maintenance and services are well-managed.

  • Plan ahead for office needs and improvements (rearranging spaces, updating decor, creating team areas).

  • Be the main contact for team members with office-related questions.

2. Executive and personal support to the CEO (35%)

  • Work closely with the CEO on both work and personal tasks in our international setting.

  • Manage the CEO's schedule efficiently, organizing meetings and travel arrangements.

  • Support important meetings (Executive Committee, Board, partners, investors): handle all arrangements and follow up on action items.

  • Organize business and personal trips: book travel, find accommodations, and coordinate with local teams.

  • Manage the CEO's personal schedule with discretion: family appointments, correspondence, and family travel.

  • Create clear notes, presentations, emails and documents with appropriate wording.

  • Connect the CEO with teams, partners and contacts, ensuring smooth communication.

3. Events & Internal Communication (15%)

  • Organize internal and external events: workshops, team activities, board meetings, and social gatherings.

  • Manage events from planning to execution: budgeting, finding suppliers, and day-of coordination.

  • Create team-building activities that strengthen our company culture.

  • Support communication during key company moments (meetings, presentations, milestones).

2️⃣ What you'll bring

⚙️ You'll definitely have:

  • Fluency in French, Spanish & English. (Ideally, you already have lived in Spain and know the ropes)

  • 3+ years of experience as an executive assistant or office manager

  • This is one of our few roles for which you need to be based in Paris

➕It would be good if you had:

  • First experience with boards or family offices is preferred

  • Some knowledge of real estate practices
