Mission

We are looking for a person driven by the opportunity to perform a variety of administrative tasks and support our company’s senior-level managers.

Our future Executive Assistant C-levels will be dedicated to managing calendars, making travel arrangements, and preparing expense reports.
To be successful in this mission, we are looking for someone who is extremely organized, has great time management skills, is not afraid to deal with simultaneous tasks, and be able to act without guidance.
Ultimately, they will contribute to the efficiency of Wakam by providing personalized and timely support to executive members.

Day-to-day:

Within the CEO Office, reporting to the Chief Executives, you will be responsible for:

  • Acting as the point of contact among Wakam Chiefs Executives, employees, clients and other external partners
  • Managing information flow in a timely and accurate manner
  • Managing Chiefs Executives’ calendars and set up meetings
  • Making travel and accommodation arrangements
  • Computing daily expenses and prepare weekly, monthly or quarterly reports
  • Supporting our office manager by keeping up with office supply needs
  • Preparing and formating information for internal and external communication : memos, emails, documents, PowerPoint presentations, reports
  • Taking notes during meetings & drafting meeting minutes
  • Screening phone calls, managing requests and distributing correspondence

Profile

  • Bachelor/Licence or Master Degree, PA diploma or certification is a plus
  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communications skills
  • Speaking a fluent English is mandatory for this role. An additional language would be appreciated
  • Discretion and confidentiality
