We are looking for a dynamic and versatile Office Manager to join our highly motivated and experienced team in our Paris office. You will have a big impact on the office life and its daily management. You will ensure the smooth running of the office and help to improve our company procedures and day-to-day operations as well as provide a pleasant and efficient work environment for the teams and offer a quality experience to the employees through the work environment.

What you’ll be doing

  • Maintain a welcoming office space and a convivial office life
  • Organize internal team events and celebrations
  • Welcome visitors
  • Set up new employee workstations
  • Receive and dispatch postal mail and packages
  • Keep an inventory and order office / kitchen supplies
  • Order and standardize IT equipment for all 4 French offices and remote workers (laptops, screens, etc.)
  • Compare, negotiate with and supervise the various general service providers (Internet provider, security system, maintenance crew, repair contractors, etc)
  • Yearly review of service providers cost
  • Create and maintain the office management budget
  • Verification of subcontractor invoices before payment
  • Process various team requests (lunch meeting order, etc)
  • Assist in planning team and client meetings
  • Perform daily administrative and operational tasks
  • Perform any other tasks which may be assigned by the company and which fall within the scope of the employee’s qualifications
  • Occasional travel to other French offices (Lille and Lyon)
  • Occasional extensive hours

What we’re looking for

  • A minimum of 2 years of experience in a similar position
  • Experience managing and negotiating with subcontractors
  • Experience managing budgets
  • Experience with Google Workspace (Google Docs, Sheets, GMAIL Calendar, etc)
  • Understanding and interest for technology
  • The ability to be in the office daily
  • A dynamic, “can do” and “take charge” attitude
  • Excellent organizational and communication skills
  • Flexibility and multitasking
  • Solution driven
  • Enthusiasm for facilitating and coordinating
  • Fluent in French and a working proficiency in English (this won’t be your main working language, but it comes handy at times)
