Descriptif du poste

Permanent role - full-time or 80% - Paris 9 - 32 to 45K€

We’re looking for a Workplace Manager to work closely with Thomas, COO & co-founder at Kiln and our entire team!

In this role, you’ll be responsible for:

Workplace & facility management

  • Welcome our guests, whether they are customers, candidates, new employees, or delivery drivers: physically or on the phone
  • Manage the physical workplace environment directly or through providers (furniture, plants, snacks, temperature, cleanliness, small renovations, etc.)
  • Monitor office & IT supplies inventory & stocks
  • Take care of all our incoming mails and make sure we are meeting any bills deadline

Sales administration

  • Manage our purchases: furniture etc, take care of the bills (ERP)
  • Manage our billing & incoming payments

People / HR admin

  • Manage business trip reservations (flights, hotels, uber) for Kilners
  • Prepare newcomer contracts
  • Keep employee management systems up to date :
  • Payfit, Deel and health insurance products
  • Work expenses validation
  • Variable payment elements (holidays, absences, salary attestations, etc.)

Physical onboardings

  • Physically welcome all newcomers
  • Manage inventory & prepare IT equipment for each arrival
  • Get desk ready for non-remote Kilners
  • Manage welcome pack expedition for remote folks

Engagement & Happiness

  • Make sure the office is the best place to work in
  • Work on producing the next drop of Kiln swag
  • Organize regular team events, from birthdays to off-sites
  • formal such as company seminars
  • informal such as team drinks or restaurants, celebration for Xmas…

Profil recherché

Skills & background

  • Experience working with high requirements from customers
  • A first experience in office management (not necessarily in startup, it could be working for hotels or in tourism)
  • English & French must both be perfectly fluent, including orally
  • Proven experience in organizing company trips/business travels
  • A first experience using Payfit and Google Sheets is a plus

Soft skills

  • Excellent presentation skills, physically or on the phone
  • Genuine people-oriented person, we are looking for someone who will take entire part of the team
  • Detailed-oriented, and organized
  • Adaptable and able to deal with last min changes
  • In a constant search for how we can improve and automatize tasks
  • Curious about crypto or blockchain topics
