You will work closely with our People Partner, Marie-Cécile and report to Hadrien, our COO.

 

Job Description:

As the HR Operations Manager at Worklib, you will be a key player in our HR team. Collaborating closely with Marie-Cécile, our People Partner, to ensure seamless HR operations and reporting to Hadrien, our COO. Your role is pivotal in building our HR strategy, optimizing HR processes and maintaining compliance while ensuring alignment with the People Partner's strategic focus areas. Together, we strive to create an engaging and supportive work environment where every employee can thrive.

Key Responsibilities:

🎯 HR Process Optimization & Strategy:

  • Evaluate and enhance existing HR processes for improved efficiency and effectiveness.
  • Contribute to building the HR strategy while complementing the People Partner’s main missions and objectives.
  • Implement streamlined procedures for HR functions, including onboarding, offboarding, payroll, benefits administration, and performance management.
  • Ensure compliance with local labor laws and regulations in all HR operations.
  • Be the point of contact to our CSE, preparing and organizing meetings

🧗🏻‍♀️Talent Development:

  • Co-build the career paths with the People Partner
  • Implement a complete salary grid for based on seniority for each job in the company
  • Be the point of contact with our OPCO and manage all the processes related to it.
  • Identifying the employees training needs with their managers and providing accurate options for each of them.

💸 Payroll:

  • Update the relevant matrices on a daily basis
  • Provide the needed information on time to our providers and to the Finance team to ensure our employees will be paid on time
  • Be part of the cross-validations
  • Lead any process optimization initiatives (automation, providers benchmark, etc.)


💻 HRIS Management:

  • Oversee the management and maintenance of the HR Information System (HRIS).
  • Make sure our HRIS and payroll information are always up-to-date through regular audits and appropriate quality control methods.
  • Act as the primary point of contact for HRIS-related inquiries and troubleshooting.
  • Collaborate with the People Partner to implement system enhancements and upgrades.


    💙 Employee Relations and Engagement:

    • Address employee queries regarding HR policies, procedures, and benefits.
    • Be the first point of contact after a candidate signs an offer and ensure an excellent pre-boarding and onboarding process with all the documentation (contracts, commission plans), HR systems and IT setup.
    • Answer to our employees HR tickets (and assign them to the appropriate owners when needed)
    • Support the People Partner in resolving employee relations issues and fostering a positive work environment.


      📊 Data Analysis and Reporting:

      • Collect and analyze HR data to identify trends and insights.
      • Prepare regular reports on key HR metrics and KPIs to support decision-making.
      • Collaborate with the People Partner to develop strategies based on HR analytics.

      ⚖️ Compliance and Risk Management:

      • Stay updated with relevant employment laws and regulations.
      • Work closely with the People Partner to mitigate HR-related risks and maintain compliance.
      • Support audits and inspections related to HR processes and practices.

       

        👀 Profile:

        • Bachelor's degree in Human Resources, Business Administration, or a related field.
        • 4 years of experience in HR operations management or a similar role.
        • Proficient French and English speaker.
        • Strong understanding of HR processes, procedures, and best practices.
        • Proficiency in HRIS systems (Payfit).
        • Excellent communication, interpersonal, and problem-solving skills.
        • Ability to thrive in a fast-paced, dynamic startup environment.
