We’re looking for an Office Manager who will be the beating heart of our daily life at Phagos. You’ll ensure everything runs smoothly around the office, foster a vibrant team spirit, and help build an inspiring and well-organized work environment.

Be the go-to person for all things office-related — from staff questions to visitors and external partners.
Animate our team rituals (Breaphasts, Secret Buddy week, etc.) and organize internal events (annual retreat, seasonal parties, …)
Champion Quality of Life at Work.
Manage office supplies and orders — anticipate needs and stay on top of inventory.
Oversee service contracts and ensure all office equipment and infrastructure are functional.
Liaise with building management and service providers when needed.
Coordinate with the lab team to ensure timely, secure and compliant shipment to clients.
Identify and establish partnerships with suitable delivery providers (temperature control, packaging constraints, etc.).
Handle incoming/outgoing communication, filing and light archiving.
Organize travel arrangements for team members and co-founders.
Monitor office-related expenses and process vendor invoices.
Support basic financial tracking (receipts, expense reports, budget lines for office life).
Ensure workplace health & safety measures are up to date and followed.
Manage office access badges and security protocols.
You’ll also play a key supporting role in our People team by:
Helping to coordinate employee onboarding and offboarding (welcome book, badges, documentation).
Assisting in the preparation of internal events related to HR (trainings, employee surveys, etc).
Contributing to employer branding content on our internal channels and social media (photos, event recaps, HR posts, etc).
Great organizational skills, autonomy, and a proactive mindset.
Excellent interpersonal and communication skills.
Fluent in English and French, written and spoken.
Mastery of office tools (Google Suite, Slack).
A first experience in a startup is a plus.
