The role

We are looking for a confirmed People Operations Specialist to join our team.

You will be part of the People Operations team, structured around a Head of People Operations, a People Operations Manager (your direct manager), and 4 People Operations Specialists, each covering a dedicated scope by department.

In this role, you will serve as the go-to People operations partner for employees in EMEA (mostly France, Spain, Germany) within your assigned departments (ie: Sales, Marketing, G&A or Tech & Product), supporting them at every stage of their journey at Pennylane. Your strong command of HR operations, combined with your ability to build reporting frameworks and automate administrative processes, will be key to sustaining and accelerating the company's growth.

🎯 Your responsibilities:

  • Employee lifecycle management (for a scope of up to 300 employees)

    • Manage onboarding and offboarding processes

    • Maintain and update employee administrative records

    • Oversee employment contracts, amendments, certificates, etc.

    • Manage absences (leave, sickness, etc.)

  • Payroll & benefits

    • Prepare and transmit payroll variables to the payroll provider

    • Monitor employee benefits (health insurance, pension, meal vouchers, etc.)

  • People Experience & Culture

    • Ensure an optimal employee experience: act as the main point of contact for Pennylaners, providing essential information throughout their journey at the company

    • Contribute to the continuous improvement of the employee experience

    • Be a key point of contact for employees regarding daily HR matters

  • Cross-functional HR projects

    • Support the digitalization of HR tools and the optimization of processes

    • Take part in HR transversal projects (diversity & inclusion, EVP, countries openings, etc.)

  • Compliance & monitoring

    • Ensure regulatory HR monitoring

    • Ensure compliance with legal and social obligations

    • Maintain documentation and operational support: keep essential operational documentation up to date, including the onboarding booklet, Notion information pages, and other charters and guides

⭐ Your profile

Experience & expertise: You have significant experience as a People Ops Specialist in a fast-growing environment. Minimum 3 years as a People Ops Specialist.

Autonomy & priority management: You are able to work independently and efficiently manage multiple priorities in a constantly evolving environment

HRIS expertise: You have an in-depth knowledge of HRIS systems, particularly Workday, and HR tracking/automation tools

Language skills: You are fluent in French & English, both written and spoken

If you are based in France, you will have a French contract following French regulation on top of the additional perks : 6 to 12 RTT, 5 weeks PTOs, lunch credits (Swile), Alan Blue healthcare cover and regular events in cities where Pennylaners are mostly presents (Lyon, Bordeaux, Nantes…)

We're working on providing those last advantages to our people based outside of France as well, but it can be quite more complex depending on different countries.
