In the Finance & Admin team, you will be working in tandem with Ingreed, Finance & Admin Manager, who will be your manager. Your core mission is to elevate our workplace experience, ensuring that our Paris office in the 9th district is up to our standards, functional and welcoming for our 60+ employees. You will also manage our partnership with coworking spaces in Spinergie’s other locations (London, Singapore, Texas) to guarantee a consistent and high-quality service across all our international locations.
As Office & Operations Manager, your role extends beyond the office, as you will partner with Ingreed across essential Finance and HR administration tasks. You will be essential to ensuring a great and efficient employee and customer experience in our fast-paced, stimulating work environment.
1/ Work Environment and Office Management
Ensure smooth office operations at all times by managing supplies, equipment, deliveries
Manage relationships and contracts with vendors, service providers, and the landlord
Manage the day-to-day office issues including office maintenance & improvements
Ensure Health and Safety procedures for Spinergie employees
Ensure the follow-up of incidents/claims with our Insurance providers
Oversee the travel process and help employees with travel arrangements
Coordinate office events and activities (Such as offsites, monthly aperos & all-hands meetings)
Be the primary contact for all office-related matters.
2/ Invoicing and Accounting
Management of expense reports
Assist in the centralization, recording, and data entry of supplier invoices.
Serve as the main point of contact for preparing client quotations.
Assist in monitoring and following up on invoicing and renewals for our international clients.
Help maintain an accurate and compliant client database.
3/ Employee Experience and HR Administration
Manage employee onboarding and offboarding, including equipment, access rights, badges, enrollment with health insurance, and follow-up on occupational health services visits.
Manage employee administrative processes from entry to exit & daily operations.
Assist with the preparation of payroll-related variables.
Proven experience as an Office Manager or similar administrative position (Minimum of 3 years experience), knowledge of the startup ecosystem is a plus
Demonstrates excellent organizational skills with strong attention to detail
Able to manage multiple tasks simultaneously while effectively prioritizing, strong problem-solving skills are appreciated
Autonomy and initiative: able to organize priorities, anticipate needs, and propose improvements
Strong administrative background: effective administrative management, adherence to procedures, and proficiency with digital tools.
Fluent in both French and English, with strong communication skills.
Excellent interpersonal skills and a strong service-oriented mindset
