What’s the job? About the roleThe role provides comprehensive operational and administrative support to the Engineering Centre, ensuring smooth execution of processes across documentation management, compliance, employee lifecycle activities, reporting, and internal coordination. It also drives efficiency by maintaining data integrity, supporting process improvements, and acting as a key liaison between engineering teams and enabling functions.
Responsibilities - Support Function - Serve as a key support function within the engineering department & provide comprehensive administrative assistance
- Documentation and Compliance - Create and maintain documentation for custom solutions, including design documents and user manuals
- Ensure compliance with policies, procedures, and regulations, Manage Central Engineering documentation
- Maintain structured and compliant filing systems for engineering and people-related documentation, ensuring appropriate access control and data protection standards are met
- Manage Engineering licenses
- Coordinate access provisioning and de-provisioning activities in collaboration with HR and IT to ensure timely system enrolment for new joiners and leavers
- Assist with New Joiners Onboarding Administration
- Provide administrative support across the employee lifecycle (onboarding, internal moves, offboarding), ensuring required documentation, system access, and records are completed accurately and on time
- Support the management of Time Reporting Systems (TRS) for engineering
- Assist with the management of Work Completion Records (WCRs)
- Perform cross-system validation of time and activity records to ensure consistency, completeness, and alignment with internal reporting requirements
- Data Management - Help maintain data integrity by performing regular audits and cleaning
- Support preparation of operational and people-related reports by ensuring data accuracy across engineering systems
- Oversee the administration of the Recognition Programme & the Kudos Platform
- Provide support for key engineering meetings, such as the Engineering Centre Town Hall
- Manage the Engineering Centre SharePoint and Intranet Page
- Ensure key policies, guidance, and operational updates are clearly communicated and easily accessible to employees
- Handle any other administrative tasks required by the Business Manager
- Provide backup support for recurring monthly operational activities to ensure business continuity during absences
- Help implement process automation /change
- Identify opportunities to streamline recurring administrative and reporting activities, reducing manual effort and repetitive employee queries
- Provide administrative support in the preparation, submission, and tracking of internal business requests, following up on approval workflows as needed, without assuming ownership of the underlying deliverables
- Assist with events organisation in collaboration with the Facility Manager
- Support coordination of travel documentation and expense reporting processes, ensuring completeness and compliance with internal guidelines
- Act as a liaison between engineering employees and enabling functions (HR, IT, Finance, Facilities) for operational and administrative matters, redirecting queries to appropriate owners where required
What you’ll bring Experience and required skills: - Experience in data management for business intelligence reporting
- Familiarity with Data Analysis
- Familiarity with BI tools/other analytic tools
- Foundational understanding of employee lifecycle processes and administrative HR practices
- Experience handling confidential information with discretion and professionalism
- Strong technology skills and ability to pick up new systems quickly
- Excellent problem-solving and analytical skills
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- High level of attention to detail
- Experience in administrative support within an engineering or similar technical environment, with a strong understanding of engineering processes and documentation requirements
- Candidates should be educated to Degree level or have equivalent experience
