Job description
The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Preferably the Office Assistant will have a keen interest in Human Resources as this role will open a new career path for the right candidate. You will be guided and trained by the HR Regional Manager to become a part of the HR team.
What you will do
- Operates office machines including copiers, scanners, personal computers, and other standard office equipment.
- Prepares letters, memos, forms, and reports according to written or verbal instructions.
- Sorts incoming mail and delivers to appropriate department or individual, processes outgoing mail.
- Maintains filing systems either manually or electronically.
- Performs other related duties as assigned.
- Organize office and assist associates in ways that optimize procedures.
- Sort and distribute communications in a timely manner.
- Create and update records ensuring accuracy and validity of the information.
- Monitor the level of supplies and handle shortages.
- Resolve office-related malfunctions and respond to requests or issues.
- Maintain trusting relationships with suppliers, customers and colleagues.
- Perform receptionist duties when needed.
- Helping the HR Regional Manager with ad-hoc projects.
- Taking care of Health & Safety.
- Helping the HR Regional Manager with the preboarding, onboarding and exit process.
- Arranging interviews and appointments.
Preferred experience & Required Qualities
- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role.
- Working knowledge of office equipment.
- Thorough understanding of office management procedures.
- Excellent organizational and time management skills.
- Analytical abilities and aptitude in problem-solving.
- Excellent written and verbal communication skills.
- Proficiency in MS Office.
