Context
As Pennylane's Customer Education scales rapidly with thousands of users completing training courses, certifications, community interactions, and live events, the technological infrastructure that supports these experiences becomes critical.
Our Education team currently operates across a diverse tech ecosystem including:
- LMS (LearnWorlds): our training platform Pennylane Academy
- Community platform (Khoros): where users exchange and support each other
- Certification tools (Certifier.io): credential management
- Interactive content tools (Arcade.software, Trainn.co): for engaging learning experiences
- Communication platforms (Customer.io, Livestorm, Intercom Help Center, Typeform)
The challenge? These platforms need daily management, optimisation, and evolution to deliver seamless experiences while supporting our growth.
The opportunity? Beyond keeping operations running smoothly, you'll have the space to innovate whether that's building automation, launching AI experiments (tutors, community support), or creating unified experiences across our ecosystem.
Main missions
You will own the day-to-day operations and continuous improvement of our Education technology ecosystem. This means ensuring platforms run smoothly, users get support, data stays clean and compliant while identifying and implementing smart solutions (integrations, automation, innovation projects) that help us scale efficiently.
You'll split your time between hands-on operations (admin, troubleshooting, vendor management) and strategic improvements (automation, analytics, innovation pilots).
Key Responsibilities
1. Platform administration & daily operations (30%)
- Administer our 10+ Customer Education platforms: manage user access, configure spaces/categories/permissions, troubleshoot technical issues
- Maintain platform health: monitor performance, resolve bugs, coordinate with vendor support teams
- Manage user databases: clean data regularly, ensure GDPR compliance, remove non-customer records
- Handle platform-related support tickets from internal teams and users
- Coordinate with Finance on license renewals and track platform usage to optimise costs
2. Process automation & platform integration (25%)
- Create integrations between our tools to eliminate manual work (e.g., auto-sync users between LMS and community, trigger certifications based on course completion)
- Automate repetitive workflows: user feedback collection, certification delivery, email sequences, reporting
- Implement solutions for adaptive learning: personalised content based on user maturity, role, progress.
- Streamline processes like community onboarding, event registration, and PM feedback loops
3. Data, analytics & reporting (20%)
- Build and maintain dashboards tracking key metrics: user engagement, course completion rates, certification success, event attendance, platform usage
- Analyse user behavior to identify friction points in learning journeys
- Generate monthly reports with actionable insights for the Education team
- Monitor platform performance and costs, recommend optimisations
4. Team enablement & vendor management (15%)
- Create simple documentation so team members can self-serve on platforms
- Train Education team on new features and best practices
- Manage relationships with platform vendors: stay informed on roadmaps, negotiate renewals, escalate critical issues
- Collaborate with IT Enablement to ensure security and compliance standards
- Share platform tips, updates, and learnings with the team regularly
5. Innovation projects & strategic Improvements (10%)
- Pilot AI-powered solutions: community Q&A automation, intelligent tutor on Academy
- Test new platform features early (beta programs) and assess their value
- Explore emerging Education tech trends and propose innovations worth trying
- Contribute to bigger projects like unified Education portals or cross-platform bridges (Cabinet portal ↔ Academy ↔ Comptatech blog)
- Benchmark competitor solutions and bring fresh ideas to the team
Profile we're looking for
You're someone who loves making things work smoothly while finding smarter ways to do them. You're hands-on with daily operations but always thinking "how can we automate this?" or "what could make this better?"
You have:
- Experience working with SaaS platforms and tech tools (bonus if you've used LMS, community platforms, or similar)
- Comfort with integrations and automation tools like Zapier or Make
- Ability to work with data: create dashboards, spot trends, extract insights
- Fluency in French and English
You are:
- Autonomous and proactive : you see problems and fix them without waiting to be asked
- A problem-solver : you troubleshoot efficiently and stay calm when things break
- User-focused : you care about the experience of the people using what you build
- A clear communicator : you can explain technical things simply and document your work well
- Curious and pragmatic : you balance getting things done today with making them better tomorrow
- Comfortable with change : you adapt quickly when priorities shift
- Bonus points if you have:
* Experience in Customer Education, Operations, or Enablement roles
* Startup/scale-up background
* Knowledge of AI applications in learning

We're working on providing those last advantages to our people based outside of France as well, but it can be quite more complex depending on different countries.
