The position

Job description

As a Head of Product Operations at WeeFin, you will serve as a central enabler for the entire product organisation, ensuring that processes, tools, and collaboration frameworks allow our product teams to deliver efficiently, consistently, and at scale.

You will be responsible for cross-product coordination, lifecycle governance, and process optimisation, helping Product Managers, Product Owners, and other stakeholders operate at their best. You will own the product tool stack (e.g., Notion, AHA!, product analytics platforms) and ensure processes are well-defined, documented, and continuously improved.

This role is highly cross-functional, working with Product, Tech, QA, UX, Marketing, Sales, and Operations to streamline workflows, reduce inefficiencies, and strengthen alignment. As WeeFin moves into an AI-driven product era, you will also explore and coordinate AI-powered efficiencies in workflows, reporting, and documentation. With your prior product management experience you are a mentor to the team.

Your success will be measured by efficiency gains, documentation quality, team alignment, and satisfaction with processes across the product organisation.

Key Responsibilities

Cross-Product Coordination & Alignment

  • Facilitate alignment across product managers, owners, and squads to ensure a consistent approach to roadmap execution.

  • Support structured communication between product and other functions (Tech, Marketing, Sales, Ops).

  • Track dependencies and ensure smooth handovers across product lifecycle stages (Innovation → Scale → Operations).

Process & Lifecycle Management

  • Define, document, and continuously improve core product processes (discovery, prioritisation, delivery, release, iteration).

  • Ensure consistent application of lifecycle frameworks, scoring models, and success measurement.

  • Monitor process adoption and proactively identify gaps or bottlenecks.

Tooling Ownership & Enablement

  • Own the product organisation’s tooling stack (e.g., Notion, AHA!, analytics platforms).

  • Standardise tool usage, workflows, and templates to maximise efficiency and minimise duplication.

  • Evaluate and implement new tools or integrations to enhance collaboration and reporting.

Efficiency & Quality Tracking

  • Define and monitor KPIs for process efficiency, delivery velocity, and quality.

  • Support Product Ops leadership in reporting on product organisation health and impact.

  • Identify opportunities for automation and efficiency gains, including AI-enabled workflows.

AI-Driven Product Ops

  • Explore AI-driven solutions for documentation, reporting, and workflow automation.

  • Coordinate adoption of AI assistants for backlog refinement, meeting summaries, and data analysis.

  • Ensure processes incorporate responsible AI practices (bias checks, transparency, auditability).

Collaboration, Communication & Mentorship

  • Act as the central point of contact for process and tooling questions within the product team.

  • Facilitate workshops, retrospectives, and enablement sessions to build a culture of operational excellence.

  • Partner with Product Managers and Owners to ensure product operations directly support strategic and delivery objectives.

  • Be a mentor for the product team across Product and GTM practices.


Preferred experience

Technical & Functional Skills:

  • Proven experience with product tool ownership (e.g., AHA!, Jira or DevOps, Confluence, analytics tools, Notion,…).

  • Strong product lifecycle management skills.

  • Familiarity with Agile methodologies (Scrum, Kanban, SAFe) and product lifecycle frameworks.

  • Data-driven mindset; comfortable defining and tracking KPIs for efficiency, adoption, and quality.

AI-related competencies:

  • Familiarity with AI workflow automation tools (e.g., Zapier, AI copilots in Jira/Notion).

  • Understanding how LLMs can support documentation, reporting, and knowledge management.

  • Ability to evaluate and integrate AI-powered tools into team workflows responsibly.

Behavioral Competencies:

  • Excellent facilitation and communication skills.

Required Qualifications

  • 15 years’ experience in Product Management for SaaS.

  • Background in product proposition building.

  • Proven track record of improving processes and driving efficiency across teams.

  • Proven experience in delivering products with full GTM strategy and multi stakeholder alignment.

  • Experience managing and optimising product stacks.

  • Strong communication skills in English (written and spoken).

  • Familiarity with AI-enabled tooling and process automation is a plus.

It is possible to work at the London or Paris office (one of the two, but not both).
