The Accounting and Administrative Assistant plays a crucial role in supporting the day-to-day operations of the organization by handling various administrative tasks and assisting with financial activities. This position requires a combination of organizational, communication, and financial skills to ensure smooth business processes.

Key Duties and Responsibilities:

1. Financial/Accounts Support:

  • Responsible for petty cash disbursements, replenishment and petty cash count. Ensure bank and petty cash transactions are recorded on a daily basis.

  • Assist in reviewing field budget activities to ensure cost efficiency, verify travel expense reports. Issue, track and reconcile approved travel advances to field office staff, review advance reconciliation and claims for completeness and accuracy.

  • Assist in daily cash & cheque payments, monthly cash counts and certificates.

  • Assist in monitoring accounts payable and receivable, ensuring timely payments and collections.

  • Liaise with internal and external auditors on audit related issues, facilitate auditors in performing on-site visits. Provide support role in audits (internal and external) including preparation of documents for internal, external and donor audits), in the field office when necessary.

  • Performs other routine accounting and other related duties and tasks as directed.

2 . Administrative Duties:

  • Preparation of administrative documents, collection of signatures or approvals, general administrative tasks etc.

  • Responsible for fixed assets management and maintenance of all office equipment.

  • Responsible for company vehicle fleets in the field office/operations (regular maintenance and vehicle usage, policies applied).

  • Perform general clerical tasks, including data entry, copying, filing, and document management. Archiving of operation printed documents, forms, vouchers, records etc. in an organized manner in the office.

  • Handle correspondence, preparation of contracts and sending invitations and direct them to the appropriate personnel.

3. Customer Relations:

  • Communicate with clients, customers, and service providers to address inquiries and resolve issues.

  • Maintain positive relationships with clients and service providers, ensuring customer/service satisfaction.

4. Travel and Event Coordination:

  • Assist in making travel arrangements for staff and executives.

  • Coordinate logistics for company events, conferences, and meetings.

5. Office Management:

  • Order and manage office supplies, ensuring adequate stock levels.

  • Coordinate with building management for office maintenance and repairs.

  • Oversee the general tidiness and organization of the office space.

6. Support to Management:

  • Assist executives and managers with various tasks, including scheduling, report generation, and data analysis.

  • Prepare and distribute internal communications.

  • Engaging and performing any other activity as required from time to time.

Profil recherché

  • Minimum Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.

  • 2+ years of relevant experience in financial and administrative roles.

  • Familiarity with financial software and accounting principles.

  • Excellent organizational and multitasking abilities. Ability to adapt to changing priorities and handle diverse tasks.

  • Detail-oriented with a focus on accuracy and completeness in tasks.

  • Initiative-driven with a proactive approach to problem-solving.

  • Collaborative mindset with the ability to work effectively in a team.

  • Ability to handle sensitive information with discretion.

  • Strong written and verbal communication skills.

  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
