Your mission 🚀:

Our team is facing new challenges in Shipup’s maturity stage in the current context:

  • We’re expanding internationally with the recent opening of our second office in New York City
  • Our revenue and client base are growing fast and will continue to do so
  • Our workforce is growing fast as well, from 40 to a goal of 70 people by the end of 2021 alone

We’re searching for a dynamic, ambitious and talented person to manage and coach the admin team to be able to follow this growth. Reporting to Romain, our CEO, you will own our Admin department. With Shipup’s rapid growth many subjects are going to intensify and new ones will arise !
It will be up to you to help Shipup scale and be responsible for all the admin topics: Finance, Legal, HR and Office :

  • Manage and coach the existing admin team There are 3 people today in the team (Thomas - finance ops, Ophélie - HR / Office manager, Alec - office intern)

    • Help them grow in their position by providing guidance and mentoring
    • Improve the team’s training and help them put in place processes
    • Hire the next people in your team to be able to follow the company’s growth
  • Finance :

    • Manage Thomas and be responsible for the quality of his work (Business Plan, cashflow, monthly budget, financial analysis, invoices…)
    • Participate on financing subjects including grants, loans, “crédit d’impôt”, fundraiser…
    • Work with the French and American accountants to produce reportings and have the best possible balance sheet.
    • Be the primary contact with our different banks in € in France and in $ in the US
  • Legal

    • Prepare the different General Assemblies and legal board of directors meetings with our lawyers
    • Explain how BSPCE work to all our new hires and be in charge (with the help of our lawyers) of all the paperwork linked to this subject
    • Be aware of our legal obligations as a growing company with investors
    • Help our sales team in France and in the US when clients ask them legal or gdpr questions or want to negotiate a contract (help from a lawyer is also possible but many questions are similar to one time to another)
  • HR and Office

    • Be Ophélie’s and the office intern’s manager and be aware of all the HR (work contracts, HR obligations, payslips, visa requests…) and Office subjects they handle
    • Be able to help and guide on strategic HR decisions for the cofounders
    • Work with Ophélie to train her on US HR subjects with the help of our NY advisory
    • Guide Ophélie and/or the intern to keep a great roadmap on benefits, perks and team events to keep a great team spirit in France
    • Help keep the NY team feel close and help them organize events of their own.

Profil recherché

You could be a good fit if :

  • You have at least 3 years in a similar admin cross-functional role or at least 3 years of experience in a top-tier audit firm
  • You have already managed a team
  • You already have experience in accounting, business plans, and overseing contracts or legal documents
  • You’re multi-faceted:

    • You’re analytical you can break down complex, unstructured problems into actionable items.
    • You’re a self-starter and can be hands-on. You do not need guidelines as the cofounders will rely on you and your team to tackle admin subjects
    • You are curious, flexible, versatile and adjust easily.
  • You demonstrate thoroughness and attention to detail
  • You’re have good communication skills in French and in English
