In the middle of a scale-up phase, our People department is structuring and growing.
In this context, we are recruiting our next Office Manager in order to ensure an all-around perfect and smooth people experience at Mytraffic.
🧑💻 ABOUT YOUR TEAM 👩💻
You will work in a team of 8 partners (HR Business Partner, People Ops, Talent Acquisition...) and report to our Head Human Resources. The team will keep growing in the coming months/years. Enrich it, share your vision, and grow within MyTraffic!
Your day-to-day at Mytraffic:
Office (relocating management, space, supplies, etc.) - 50%
- Ensuring the office's scalability and suggesting changes to optimize its design
- Organizing the forthcoming move
- Participate actively in the design of our present and future spaces (Management of the organisation of our workspace, decoration...).
- Making sure the workplace is adequately stocked (office supplies, coffee, computers, etc.)
- Be aware of the teams' needs and order the necessary supplies in advance.
- Keep track of budgets and stock levels.
- Management of all service providers, including choosing the best contracts, placing and tracking orders, handling complaints, and planning maintenance and intervention work (cleaning, alarm, badge, telephony, etc.)
- Make sure that workplace health and safety regulations are followed
- Daily assistance with general concerns to all staff (Paris and Europe offices).
- Mail management
- Administration of several collaborations (Comet/Service Connect)
- General Services all across Europe offices.
- Unrelated purchases (supplies, tearooms, IT equipment, etc.)
- Allocation, supervision, and upkeep of IT and telephone equipment
- Participate actively with planning and arranging travels
Happiness - 20%
- Bringing our culture to life through a variety of activities and rituals (Christmas party, keynote, afterwork, etc.)
- Taking care of people’s wellbeing by routinely providing small attentions.
- Work with our other offices in Europe to provide them with events of the same caliber.
Support for HR and Finance - 20%
- Spendesk administration
- Expense follow-up
- Manage some partnerships
- Navigo pass, Moka.Care, the gym, and occupational health
Onboarding - 10%
Set up pre-boarding:
- welcoming newcomers and participate actively with the planning and logistics of the Academy's onboarding programs.
- sending invitations and sending emails
- creating welcome packages (computer material)
- Enhancing and improving daily lives by developing new methods and tools to automate repetitive chores
