The Challenge

As an Office Manager, you will be responsible for deliver a high impact solutions
that supports Kili team and its ambition! Your role will be to create the best work
environment for the team and become the enabler in Kili’s core activities to grow.
You will not only work closely with Kili founders and the business team, but you
need to engage well with the whole team:

Key Responsibilities

As an Office Manager at Kili, you will :
1. Executive assistance: Support Kili’s founders and senior executives on their administrative tasks

  • Finance administrations (invoicing and its tracking, schedules, contract payments, etc)
  • Legal administrative documents (e.g. client contracts, NDA, partnership agreement etc)
  • Other administrative tasks (e.g. company registrations, documents reviewing, related to customer relations)

2. Human resources assistance:

  • Manage employee contracts and payrolls / payslips
  • Contribute on the recruitment screening of Kili new joiners
  • Support onboarding logistics : ordering computers, other necessary device

3. Travel arrangements and logistics support

  • (Plane tickets, accommodations, etc for the whole team during offsites / events
  • Team registrations for events
  • Ensure logistics and equipments needed for travel

4. Office management: Make sure the office is the best place to work

  • Manage facilities/real estate relationships when necessary
  • Create and share good standards/rules to follow in the office and make sure everybody is aware of it (sanitary protocols, etc)
  • Manage office logistics : furnitures, office supplies (pen, printer ink, paper, etc), order on-demand device / gadget (e.g. 4G wifi) if needed

Profil recherché

About You

  • Experience: You have 3+ years of experience as an Office Manager, or equivalent in a tech startup (preferably in AI-related field)
  • Expertise: You are hands-on to what you do, can be a multitasker at ease, and are able to prioritize your daily workload. You pay attention to details and rigorous in everything you do. You are comfortable reading legal documents.
  • Teamwork: Capable to build strong relationships with the team based on confidentiality and trust. You have a high sense of belonging.
  • Communication: Outstanding communicator with excellent interpersonal skills.
  • Languages: You speak both French and English (bilingual)
  • Education: You have a Bachelor’s degree or equivalent

Déroulement des entretiens

  • Introductory call (15-30 minutes)
  • In-depth interview (45 minutes)
  • Business case + debriefing session (1 hour)
  • Final interview
