Context
Innso is looking for an Administrative Assistant to manage the sales administration and suppliers. Reporting to the General Manager, you will be the main point of contact for department managers and sales teams for the administrative follow-up of their activities and budget management. You will be responsible for scheduling and monitoring customer invoicing and supplier payments in collaboration with the accounting department, as well as monitoring financial reporting with the management control department.
Missions
Management and follow-up
- Ensure the contractualisation of all assignments in coordination with the business teams and the legal and financial departments: estimates, invoices, framework contracts, service contracts, contracts, etc.
- Ensure the administrative management of all assignments, in compliance with legislation;
- Contribute to the preparation of legal documents.
- Check invoicing elements and draw up invoices in accordance with contractual agreements and the client’s purchasing procedures.
- Ensure the resolution of any billing disputes.
- Keep internal management tools up to date to ensure the management of the business.
- Participate in the recognition of turnover and active participation in monthly closings, particularly the validation of outstanding invoices.
- Ensure the monitoring and analysis of the aged balance of customers, managing customer reminders and collection with the internal departments.
- Monitor and analyze supplier expenses, manage supplier deadlines and payments with internal departments.
Analysis, monitoring and reporting
- Ensure active monitoring and internal control in order to propose optimisations to achieve productivity gains and the reliability of operations (procedures, tools, etc.).
