Le poste

Descriptif du poste

You are in charge of the technical and logistical preparation, design and coordination of events (flagship = Imcas World Congress). Your will ensure that human and material needs are adapted to the size and the positioning of the events. You will be the technical, logistical and security main contact for customers and suppliers. Thus, you will have to:

Before the congress:
• Define the specifications according to the objectives of the congress
• Prepare the exhibitor’s technical guide and stand equipment offers
• Produce event map and sectorization in relation with the congress’ different services
• Propose and follow the logistics budget
• Select, brief and manage service providers: security, cleaning, venue, catering, booth design and construction, signage, connections (Internet, electricity,) and other various technical services
• Coordinate and optimize the technical and logistical part of the events (framework contracts, quote, specs, planning…) and the external staff
• Collaborate with all the Imcas team members
• Ensure the administrative part is realised (quotes, purchase orders and invoices)

On Site:
• Manage on-site logistics (set up, opening & dismantling phases) for all services (registration, cleaning, security …)
• Manage external teams and technical supports for exhibitors
• Check and guaranty the conformity of the execution with schedules and orders (specs, planning, quality…)
• Anticipate and find solutions to various technical and/or logistical topics
• Control exit inventories

Post congress:
• Evaluate suppliers, prepare the debriefing
• Suggest improvements
• Control of budgetary commitments, payment, closing of accounts
Regulations:
• Manage security/safety controls and legal requirements (venue & regulations)
• Control booth design and decoration projects in accordance with the exhibition’s architectural rules
• Manage the general coordination plan, the fire safety file and other regulations requested


Profil recherché

This position involves being rigorous, organized and energetic
• Bachelor’s degree in business administration, English, tourism or related discipline
• Spanish is a plus
• At least 5 years in a similar position
• Past experience in the event industry
• Strong attention to detail and willingness to learn
• Willingness to innovate and offer high quality standards
• Ability to work independently and be self driven within a team structure
• be able to manage multiple tasks at one time
• be proficient with Microsoft Office Suite, ADOBE, InDesign
