We are a team of 125 bold and passionate doers shooting for the stars. We are growing fast and are looking for a Office Operations Manager to join our Workplace team to ensure the smooth running of our day-to-day operations and make our office the best place to work.

As an Office Operations Manage, you will play a central role in our Workplace team! Your mission is to organize and coordinate administration duties and office procedures to make everything run smoothly at Spendesk. It is going to be your responsibility to create and maintain an incredible work environment in which people thrive.

This is a job creation meaning that some of your missions are currently carried out by our Workplace Manager whom you’ll collaborate really closely. Your sense of initiative and autonomy may well redefine the boundaries of your scope.

  • Within the Workplace & Happiness team, you will help run the day to day office operations, such as :
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
  • Provide general support for visitors
  • Participate actively in the planning and execution of company events and team building activities
  • Coordinate office staff activities to ensure maximum efficiency (e.g., help teams with booking travels, accommodation, etc.)
  • Monitor and maintain office supplies inventory
  • Maintain a safe and secure working environment
  • Monitor and maintain snacking supplies inventory
  • Manage contract and price negotiations with office vendors, service providers
  • Manage and keep a good relationship with property managers, landlords, etc.
  • Actively contribute to the team effort by supporting with admin related topics when needed.

Requisitos

What are we looking for?

The perfect fit

  • You are very helpful and resourceful. You have a strong sense of service.
  • You are proactive, you own your projects and love set-up new things
  • You are very social, you easily make friends and are very communicative
  • You are dilligent, with a strong sense of details.
  • You are well organised and can cope with many projects at the same time

Background and experience

  • 2-3 year of work experience as an administrative assistant, HR operations or financial operations
  • You have already worked in a startup or in a fast-paced environment
  • You are fluent in French and in English (third language is a plus)
