Job Description:

We are seeking a highly motivated and experienced IT & Digital Operations Specialist and to join our team. The successful candidate will be responsible for providing IT training, onboarding team members on digital tools and IT processes, website co-creation and management, implementing and managing the company’s CRM system, and supporting the management of our digital tools accounts and provider relations.

Key Responsibilities:

Ensure maintenance of key digital tools

  • Manage and maintain the company’s digital tools accounts : Mailchimp, Google Workspace, Slack, Coursera, Notion, LMS platform etc.

  • Communicate with providers to ensure the smooth operation of digital tools

  • Identify and recommend new digital tools to improve company operations

  • Implement and manage the company’s CRM system (to come)

  • Create and maintain reports and dashboards

  • Problems resolution and follow-ups with the teams impacted.

  • Provide support and training to team members on the use of the CRM system (to come)

Digital Facilitation & Training

  • Provide IT training and onboarding of team members on digital tools and IT processes

  • Produce training materials and deliver workshops to team members on digital tools and IT processes

  • Continuously improve training materials based on feedback and changes in digital tools and IT processes

  • Provide ongoing support to team members to ensure their proficiency in using digital tools

  • Develop and maintain procedures and instructions for using digital tools and for fundamental online safety and privacy (eg on Google Drive)

Supporting Communication Team with Digital Presence Management

  • Help our communication team to set up the technical part of social media strategies

  • Assist our ops and comm team to plan and execute digital marketing campaigns to increase brand awareness and engagement

  • Assist our ops and comm team in building, updating and designing websites using Wix

  • Maintain and update website content

  • Monitor website performance and analytics


Preferred experience

Qualifications and skills:

  • Bachelor’s degree in Information Technology, Computer Science, Marketing or related field. Alternatively: relevant experience

  • Minimum of 2-3 years of experience in IT operations and/or IT training.

  • Advanced knowledge of digital tools such as GSuite, Zoom, Mailchimp, Airtable, Slack.

  • Experience with website creation and management using Wix

  • Experience with CRM implementation and management would be an asset.

  • At least basic knowledge of HTML/CSS would be an asset, not required.

  • Strong training and communication skills

  • Knowledge of online safety and privacy best practices

  • Excellent written and verbal communication skills in English

  • Ability to prioritize and manage multiple tasks and projects

  • Strong attention to detail
