Duties and Responsibilities

Assistance to the Founder:

  • Complete a broad variety of administrative tasks that facilitate the founder’s ability to effectively lead the organization including: managing his agenda, composing correspondence and maintaining contact list.
  • Organize, prepare meetings and edit minutes (with shareholders and board of directors).
  • Prioritize incoming issues and concerns addressed to the Founder, including those of a confidential nature, and determine course of action.
  • Provide a bridge for smooth communication between the Founder and internal departments.
  • Organize the founder’s international business trips and compile all the visa related documents.

Office Management:

  • Ensure a warm welcome & service.
  • Follow-up and redistribute the mail and packages.
  • Create and follow-up our employees’ professional material (computers/phones/keys).
  • Guarantee sufficient office supplies (tea, coffee, printing paper, etc..).
  • Manage the housekeeping team.
  • Organise the headquarters’ international business trips and compile all the visa related documents.
  • Assist in finding and organising the new HQ’s office.
  • Organize and follow-up various events (team building, lunch…).

Preferred experience

About you

  • Minimum of 2 years’ experience as an assistant to head office.
  • Strong organizational skills.
  • Attention to detail.
  • Fluent level of English and French both written and spoken.
  • Mastering the pack office: Word, Excel, PowerPoint
  • Mastering email tools.
